POSITION SUMMARY: Join a fast-paced, patient -focused team where your communication skills and attention to detail truly make a difference. Under the direction of the Medical Office Manager, you'll be the first point of contact for patients, scheduling appointments, managing front desk operations, and enduring accurate entry of demographics and insurance info. Your proactive, friendly approach helps patients feel supported and keeps their care running smoothly.
ESSENTIAL FUNCTIONS:
- Receives all scheduled medical patients; greets them in a courteous, helpful manner and arranges assistance for them, if necessary.
- Comforts patients by anticipating patient’s anxieties answering patient’s questions maintaining the flow of the reception area.
- Checks-in patients using the Electronic Health Record
- Schedules medical appointments using NextGen Practice Management. Records cancellations and no-show appointments, routes to appropriate Tactical RN/Provider team before the end of each clinic session for review and reschedules as needed.
- Answers all incoming phone calls and directs them to appropriate individual or department. Updates patient demographics, insurance coverage and special consents in the EHR at each patient visit. Collects supporting registration, insurance and consents documents and scans them into the patient’s electronic health record.
- At each patient visit verify patient insurance eligibility with 3rd party insurance companies (Medicare, Medi-Cal, Private Insurance, etc.); Sequences patient’s insurance coverage (prioritizing the primary and secondary insurance coverage’s if patient has multi coverage) in the EHR billing program.
- Works in several software programs simultaneously to conduct daily clinic responsibilities and duties for patient visits.
- Receives patient payments for visits and records receipts. Processes payments and receipt books to the fiscal department.
- Protects patients' rights by maintaining confidentiality of personal and financial information.
- Fills out CHDP forms as needed for minor well child visits and processes to appropriate Medical Assistant/RN/Provider team.
- Attempts to match unfunded patients to an appropriate funding source to cover patient visit services. (EWC, Family PACT,)
- Updates established patient registration and consent for treatment form on an annual basis.
- Collects missing registration verification documents and reviews for completeness. Scans into patient electronic health record.
- Knowledgeable of Revenue Cycle policies and procedures in reference to their position.
- Woks with Patient Services Specialists to assist patients and families with insurance applications and enrollment process. Will also serve as Patient Services Specialist back-up as needed by department staffing needs.
- Coordinates with Patient Services Specialist with gathering information and referring all non-funded patients to them for assistance.
- Assists all new patients with providing information, beginning the new patient enrollment process and scheduling appointments to meet with the Patient Services Specialist to finalize.
- Reports any patient concerns or complaints to supervisor.
- Demonstrates excellent teamwork by helping members of team with workload.
- Assists patients with completing required paperwork.
- Performs other duties as assigned.
- Must pass a pre-employment drug screen, physical and SCIHP background investigation and Covered California background investigation.
- Must have proof of completed COVID vaccinations.
Qualifications
EDUCATION AND EXPERIENCE:
- High School diploma or general education degree (GED) with six (6) months experience as receptionist/clerk preferable in the medical setting.
- Achieve the Certified Enrollment Counselor Certificate within three months of hire.
- Possess current CPR certification or must be able to obtain one within 90 days of hire.
QUALIFICATIONS:
- Must comply with Federal and California laws regarding the use and disclosure of individually identifiable health information, with the provisions of the Health Insurance Portability and Accountability Act (HIPAA), and the Health Information Technology for Economic and Clinical Health Act (HITECH).
- Ensure the confidentiality of all applications, records, and any information received in writing, verbal, or other forms.
- Basic interviewing skills for the purpose of gathering information and explaining policies or clarifying information as needed.
- Greet all patients and visitors in a warm and friendly manner.
- Thorough knowledge of medical department practices, procedures, programs, services, policies and regulations.
- Working knowledge of basic mathematics.
- Working knowledge of English grammar, vocabulary, spelling and punctuation.
- Knowledge of location and functions of all SCIHP departments
- Ability to establish and maintain medical office statistics.
- Ability to answer procedural, factual and semi-technical questions related to department services, programs or functions.
- Ability to follow written and oral instructions.
- Ability to make accurate and required mathematical calculations.
- Ability to establish and maintain cooperative working relationships with patients and other employees.
- Ability to sit for long periods of time. The job is (normally) performed from a seated position.
- Ability to maintain a clear, understandable speaking voice, capable of communicating (vital) information to internal/external contacts.
- Maintain sufficient digital manipulation skills necessary to utilize a computer keyboard.
- Sufficient body dexterity to bend, stoops, and reach for documents, supplies, files, and other related materials.
- Capable of following (complex) directions and effectively communicate with vendors, customers, and co-workers by telephone and/or in person.
- Ability to solve (complex) problems and implement solutions (with/without) the guidance of others.
- Good hearing and vision skills as the job requires the individual to hear customers, vendors, and co-worker's requests or requirements and see forms, materials, supplies or information given/gathered from customers, vendors, and co-workers.
