DESCRIPTION:
Following Hospital Policy and best business practices, the Supply Assistant is responsible for; replenishment/maintenance of supplies in numerous departmental storage locations throughout the Hospital; maintain/adjust appropriate supply levels to ensure continuous supply availability to care givers and diagnostic services as and when needed for treatment of patients; order fulfillment and preparation for delivery of both internal and external customer needs.
Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.
PRINCIPLE DUTIES & RESPONSIBILITIES:
- Daily replenishment/maintenance of departmental supply storage locations & carts, servers & trauma supplies; ensuring proper supply levels are maintained to meet customer demand; utilize and maintain systems to transmit counts; must ensure an extremely high level of integrity/accuracy of items replenished.
- Accurate order fulfillment (& delivery) from various source storage locations utilizing Inventory locator systems and automated storage and retrieval systems. Replenish warehouse and storage systems with incoming products from vendors.
- Reviews, revises stock reorder levels at departmental storage sites to ensure that there are no stock outs and liaise with caregivers using products. Works closely with inventory personnel, receivers, purchasing agents and other staff in Materiel Management to avoid stock outs of vital supplies.
- Performs accurate verification/data input/record keeping/filing/reporting of receipts from vendors and/or transacting manual supply orders. Identifies inaccuracies and enable corrections within scope. Must prepare daily reports for auditing purposes. Performs cycle counts to maintain inventory accuracy and integrity.
- Responsible directly to individual customers by assignment. Responds to customer for all supply needs, stock or non-stock, routine or stat. Respond promptly to product recalls ensuring thorough checks of recalled stock and communicate to customer.
- Processes returns, excess/unused goods to the warehouse. Communicates with customers to prevent/reduce clutter and stockpiling of excess material to avoid unnecessary returns and waste.
- Participates in and recommend changes to processes or practice with the Supervisor and/or customer. Education/training of new staff members as required. Assist with troubleshooting of Materiel Management systems and timely relay any system issues. Assists with the functional planning/designing/selecting/organizing of departmental storage location revisions or complete builds as necessary.
- Ensure all Inventory locations and products in both departmental and warehouse areas are displayed presentably at all times, safely stored, secure, safe to handle (uncontaminated), executing good infection control practices avoiding cross contaminating supplies.

QUALIFICATIONS:
- Grade 12 or equivalent
- Minimum one year experience in a medium to large warehouse/production/materiel management environment.
- Ability to organize and prioritize tasks.
- Knowledge of computer software/hardware.
- Must possess excellent interpersonal skills and the ability to communicate effectively, courteously and tactfully at all levels, as well as strong commitment to a team environment and customer service excellence.
- Good math skills consistent with providing accurate physical Inventory counts.
- Ability to converse, read, and legibly write in the English language.
- Ability to operate material handling equipment.
- Proficiency in the use of PC’s in a Windows environment (Word/Excel Level 1)
- Knowledge of warehousing or inventory control practices.
- Proven ability to attend work regularly.
- Satisfactory criminal reference check and vulnerable sector search required.
