Position Description
Travel Required
Major/Essential Functions
- Serves in direct support of daily clerical and organizational tasks required by the Assistant Vice President for Global Health and OGHS
- Distributes incoming correspondence, packages, deliveries on behalf of the Assistant Vice President for Global Health and OGHS
- Supports continuity of telephone coverage, inquiries, and communications for the purpose of providing general information on behalf of the Assistant Vice President for Global Health and OGHS senior staff as needed
- Processes travel and reimbursement transactions on behalf of the Assistant Vice President for Global Health and OGHS
- Responds to all travel and financial system report inquiries and follows through on requests within designated timelines
- Utilizes TTUHSC El Paso Travel and Direct Pay banner systems to complete tasks
- Works closely with supervisor(s) for direction and completion of tasks
- Serves as the direct support for coordination of all meetings, event logistics, document preparation, archiving, catering, submission of work orders, informational technology assistance/set up, and room reservations, on behalf of the Assistant Vice President for Global Health and OGHS
- Assists OGHS programs and activities as needed
- Works closely with supervisor(s) for direction and completion of assigned tasks
- Assists with preparation of grant or other proposals for funding, inter-institutional or other agreements, and/or program proposals
- Assists with purchasing card expense transactions, approvals, and reconciliation, for weekly expense report submissions, working closely with supervisor(s) for direction, report submissions, and inquiries
- Assists with approvals, review, deviation requests, and submission of purchasing requests on behalf of programs and activities under the auspice of the Assistant Vice President for Global Health and OGHS
- Responds to all purchasing inquiries and follows through on all reconciliations and report requests within designated timeline
- Utilizes TTUHSC El Paso Tech Buy banner systems to complete tasks
- Assists with maintenance of supply and equipment inventories on behalf of programs and activities under the auspice of the Assistant Vice President for Global Health and OGHS
- Works closely with supervisor(s) for direction, report submissions, and inquiries
- Serves as the direct support for the Vietnam program
- Works closely with supervisor(s) for direction and completion of assigned tasks
- Serves as the USO Safety Officer on behalf of OOCE and OGHS units
- Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.)
- Remains current with all licensure, certifications and mandatory compliances and trainings required of this position
