Association Headquarters is seeking a Receptionist to oversee the front desk operations of the company, including inbound calls to the office, or calls routed to the Operator from client call processors. The Receptionist's priority is to transfer callers professionally and efficiently to their desired destination. In addition to processing inbound calls, this position is also responsible for greeting all visitors to the office, opening, and disseminating all incoming mail delivered by the USPS, and all faxes received electronically. This position reports directly to the Director of Facilities Management. Below are the responsibilities associated with this position:
APPLICATION INSTRUCTIONS

RESPONSIBILITIES
- Process all inbound calls to the office from all sources.
- Open all incoming USPS mail daily, and sort into the appropriate slot of the Mail Distribution Center (MDC).
- Receive all incoming faxes electronically; open to view recipient, and then forward to appropriate person/client/department.
- Keep Reception area stocked with AH newsletters and marketing materials.
- Greet all visitors to the office, then announce visitor to appropriate staff member (if applicable). Keep small refrigerator stocked with water for visiting guests.
- Assist with special projects from staff or the mailroom.
- Receipt of Checks:
- Receive checks through US Mail or from client staff. Sort checks by client, date stamp accompanying documentation and attached documentation to check. Place checks in client folders and put in Accounting Dept. slot of MDC.
- Distribution of Checks/Documentation
- Receive back from Accounting the Daily Check Log, copies of checks and backup documentation and place in appropriate client slot in MDC.

- Employee, management and client satisfaction with phone and visitor interactions.
- Customer Service skills.
- Attentiveness to incoming calls.
- Ability to handle difficult callers in a professional and efficient manner.
- Demonstrated knowledge of job techniques and practices.
- Ability to complete assignments with little to no supervision.

EDUCATION/ EXPERIENCE/REQUIRED PROFICIENCIES
- Bachelor's degree preferred; high school diploma required.
LANGUAGE SKILLS
- Ability to effectively communicate both orally and in written form with management, internal and external customers.
REASONING ABILITY
- Demonstrate the ability to anticipate and solve practical problems or resolve issues.

Requires ability to use a computer, read a computer screen, use of a telephone and other office equipment as it relates to the work. Reaching above shoulder height, below the waist or lifting to move or access materials throughout the workday. Proper lifting techniques required. May include lifting up to 25 pounds for files, presentation equipment/documents and computer printouts on certain occasions. Vision acuity: duties may require the ability to identify and discern colors accurately, to focus and see both close and far away. Primary environment: ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
