About the Department

Provides secretarial support to the school office.  Performs a variety of moderately complex work within established procedures and standard practices.  Primarily responsible for the student registration process. Work is under general supervision and requires extensive coordination with others.  Requires handling of sensitive information and dealing tactfully with the public.  Contacts are made within and outside the organization and requires dealing tactfully and confidently with individuals on sensitive issues.  Accuracy and exercise of sound judgment is required.

Position Duties

Essential Job Functions:

  • Responsible for all student registration processes, maintaining Synergy, requesting/sending student records, register students, withdraw students, etc.

  • Responsible for Grade Quick processes, report cards, scheduling.

  • Responsible for Data Steward processes.

  • Maintains cumulative and confidential records for all students.

  • Screens visitors, telephone calls and incoming mail; personally answering inquiries which in the employee's judgment do not require the supervisor's attention.

  • Types, assembles and disseminates reports, handbooks, correspondence, etc.

  • Acts as an information specialist to the public, students and faculty regarding a variety of matters related to school operations and policies.

  • Maintains good rapport with students, staff and parents.

  • Prepares reports and furnishes information requested from within and outside the organization.

  • Performs clerical and routine work required to ensure the efficient operation of the school office.

  • May serve as backup for Time and Attendance and Bookkeeper.

  • Performs other duties as assigned.

Reprographic, telephone switchboard, fax, computer and general office equipment

Administrators, teachers, support personnel, students –daily – to obtain and provide information.

Minimum Qualifications

Working knowledge of office practices and procedures; the school or department's programs; business English and mathematics.  Working skill in typing, operating personal computers, word-processing equipment or other automated office systems.  Demonstrated ability to perform a variety of secretarial duties for one or more professionals; communicate effectively both orally and in writing; exercise judgment and work with all levels of the school or department

Education, training or experience sufficient to demonstrate the required knowledge, skills and abilities.
