Position Summary: The Import/Export Specialist is responsible for coordinating both domestic and international on demand shipments while ensuring cost-effective, efficient, and compliant transportation solutions. This role manages the full lifecycle of cargo from quoting to delivery, including tracking, customs coordination, vendor negotiation, and customer communication. The position also supports pricing analysis and process improvement initiatives to optimize operational performance. |
Key Responsibilities: The essential functions of this role include: - Coordinate and manage shipments via air, charter, hand-carry, and ground movements.
- Track and trace shipments from pickup to delivery, proactively resolving issues to minimize delays and exceptions.
- Ensure proper documentation for international shipments, including customs clearance, brokerage coordination, and regulatory compliance.
- Collaborate with overseas agents, freight forwarders, and carriers to secure timely and accurate cargo handling.
- Maintain precise records of milestones and ensure data accuracy in the Transportation Management System (TMS).
Customer Communication & Service Excellence - Act as the primary point of contact for clients regarding shipment status, escalations, and service inquiries.
- Provide proactive updates and detailed reporting to customers, ensuring expectations are met or exceeded.
- Partner with clients, internal stakeholders, and vendors to resolve complex logistics challenges.
Pricing, Negotiation & Vendor Management - Obtain competitive quotes from carriers, overseas agents, and freight partners for both expedited and international moves.
- Negotiate rates and service levels with transportation providers to ensure cost efficiency and service quality.
- Support pricing analysis and maintain vendor costing and client rate in TMS
- Collaborate with other departments to align pricing, billing, and service delivery.
Process Improvement & Cross-Functional Support - Identify and implement continuous improvement initiatives to enhance operational efficiency and service quality.
- Assist with onboarding and training team members on expedited and international processes, documentation, and systems.
- Participate in cross-functional training to support PTO coverage and broader operational flexibility.
- Partner with internal departments—including Solutions, AR, and IT—to streamline workflows and ensure system data integrity.

Education & Experience: - High school diploma required; Bachelor’s degree in logistics, supply chain, or a related field preferred.
- 2–3 years of experience in transportation, logistics, or freight forwarding, including international shipping and customs coordination.
- Strong understanding of brokerage processes, regulatory requirements, and documentation for global shipments.
- Proficiency with specialized transportation software and TMS platforms.
