Annual Salary: $69,326.40 - $88,480.08
Exempt - Not Eligible for Overtime
Benefits-eligible & 401(a) payment equals 5% of base salary.
General Summary: Under general supervision, provides a wide range of administrative and clerical support to the City’s Communications Department. This position helps ensure smooth day-to-day operations by coordinating schedules, preparing materials, supporting projects and events, and serving as a first point of contact for internal and external stakeholders. The Administrative Assistant plays an important role in keeping the department organized, responsive, and effective in its service to the community.
Note: Level is determined by scope of work, span of control, and impact to the organization.
Responsibilities include, but are not limited to:- Provide administrative support to Communications Department staff, including scheduling, calendar management, correspondence, and meeting coordination.
- Assist in the preparation, processing, and tracking of the department budget, purchase orders, and invoices.
- Draft, proofread, edit, and format a wide variety of documents, including memos, reports, presentations, and promotional materials.
- Maintain organized records, files, and databases for departmental projects, contracts, and initiatives.
- Coordinate logistics for events, press conferences, video shoots, and community meetings, including travel and meeting arrangements.
- Serve as a receptionist for the department: greet visitors, answer and direct calls, and respond to inquiries via phone, email, and in person.
- Manage incoming and outgoing mail, deliveries, and inter-office correspondence.
- Support communications projects by assisting with research, compiling background information, and providing follow-up on assignments.
- Assist with monitoring and maintaining office supplies, equipment, and software subscriptions.
- Build and maintain effective working relationships with City staff, elected officials, community partners, vendors, and the public using principles of good customer service.
- Drive a City vehicle as needed to complete assignments.
- Perform related duties as assigned.

Minimum Qualifications:- High School Diploma or equivalent; AA degree or higher may substitute for up to six (6) months of required experience.
- Two (2) years of general clerical experience in an office setting.
