Principal Responsibility

The Data and Technology Management team provides technical support for St. Anthony’s. The team supports the organizational use of computers, databases, printers, phones, printer/scanner/copiers, cloud-based applications, and performs user adds, moves and changes, and assists with new IT initiatives organization-wide. The Electronic Health Records (EHR) Support Analysts supports users operationally with ongoing implementation, configuration, utilization, and optimization of the Epic application. Essential Duties and Responsibilities   

Program Administration and Operations

  • Provide daily support to Epic applications users through troubleshooting, coaching, and consulting. 
  • Provide direct support to clinical, operations, billing, and patient care teams to facilitate the introduction, acceptance, integration, and optimal use of the Epic application in the clinic. 
  • Own user security including User Security Management, remote access, password resets, and ancillary application user credentials. Onboard new team members, including the creation of all credentials. (for IT applications associated with roles in Health Center Function I.e. Care Link, Sutter Link, Dignity)
  • Identify, assess, and troubleshoot application and equipment issues with end users as they occur, owning the problem and seeing it through to full resolution. Refer issues that require additional assistance to the vendor and shepherd the vendor’s ticketing system process through resolution.
  • Maintain member-managed system setup such as preference lists (addition of diagnoses and procedures codes to the system), SmartPhrases, and Provider Master Files for the service area. 
  • Manage error queues and In Basket pools established for member organization. 
  • Collaborate with OCHIN and member oversight or advisory workgroups to optimize system use through the implementation of new Epic PM and EMR features and upgrades.
  • Manage Jira tickets and collaborate with OCHIN to perform User Acceptance Testing on new features and upgrades associated with upcoming service packs and enhancement packs prior to implementation; communicate upcoming changes to internal staff.
  • Monitor error work queues and error pools to assist end-users in clearing their folders.
  • Review OCHIN communications and monitor system notifications
  • Update, add, remove, or troubleshoot workstation and printer issues as needed. Request destination map updates as needed.
  • Coordinate and provide all necessary training to new clinic staff and providers, including competency/efficiency training for existing users.
  • Collaborate with clinic leadership and users to identify opportunities for efficiencies in clinic operations, clinical practice support, and improved health outcomes.
  • Complete reports and all other paperwork neatly, legibly, and thoroughly.
  • Enter data and information electronically as required. Looks up data and reports electronically through a database as requested.
  • Understand and follow the organization's programs, policies, and procedures
  • Participate in regular training and development opportunities to increase personal capacity to apply innovative approaches to daily workflows, service delivery, and guest care and engagement.

Interdepartmental and Community Relationships, Collaboration, and Communication

  •  Attend appropriate clinic department meetings as Epic expert and as OCHIN liaison. 
  • Collaborate and coordinate with OCHIN and any Member support teams, including Help Desk, to translate learnings and experiences into documentation, training aides, newsletters, or other materials appropriate for your clinic. 
  • Attend monthly OCHIN EHR Support Analyst meetings and other workgroups to identify scheduled updates and changes, communicate to the clinic, and support continuous training, and sharpening of team members’ skills. 
  • Participate in relevant meetings supporting team communication and the program's capacity to fulfill organizational goals and mission.
  • Collaboratively works with others to achieve team success.
  • Manage stress and pressure situations calmly and responsively. Maintain the capacity to control reactions and awareness of how their behavior or response can impact others.

Minimum Qualifications

  • Bachelor's desired in Health Sciences, Computer Sciences, or Information Technology.
  • Experience with Revenue Cycle and billing desired.
  • Experience working in an ambulatory clinic with people experiencing homelessness or poverty or Federally Qualified Health Center (FQHC) Facilities strongly preferred.
  • Minimum two years’ Epic work experience or similar Electronic Health Record system.
  • Experience with the Epic Electronic Health Record system preferred. Additionally, familiarity with the following tools: Jira, Smart Tools, Haiku/Canto
  • Excellent interpersonal, listening, oral, and written communication skills are required.
  • Demonstrated ability to adapt teaching methods to suit the diverse needs and backgrounds of adult learners.
  • Ability to be polite, diplomatic, and firm. Can set limits and practice professional boundaries with guests, volunteers, donors, and coworkers.
  • Highly organized, able to multi-task as well as maintain intense focus on individual tasks.
