Position follows school calendar with the option to work in other summer paraprofessional positions if interested.

POSITION SUMMARY:
The Account Specialist I – Accounts Payable provides purchasing and accounts payable support for the district. The position will work as a member of the finance team and will coordinate district accounts payable activities with the purchasing department.

PRIMARY JOB FUNCTIONS:

Coordinate district accounts payable process; including reconciling all department batches and processing checks. Reconcile and balance cash disbursements including conference/convention, leases, contracted services, refunds and memberships.
Preparation of monthly financial reports for the school board.
Administers employee reimbursements including mileage, professional development expenses, uniform allowance, and tuition.
Maintain communication with district vendors. This includes establishing new vendors in the district database, ensuring W-9 form is received from all new vendors and completing credit applications, exemption certificates and W-9 forms requested by vendors.
Develop and maintain records of independent contractors for the purpose of generating 1099 reports to the IRS at year-end. Implement and communicate procedures to school staff to ensure the district is compliant with all applicable laws and regulations.
Ensure appropriate documentation is provided for purchases and payments as required by auditors. Communicate and advise staff on appropriate documentation and procedures.
Record district petty cash account activity.
Reconcile payroll balance sheet accounts with accounting registers to reflect net pay, deductions, and benefits. Process checks for these payroll disbursements and wire transfers and record journal entries related to this reconciliation.
Prepare and record journal entries related to inter-departmental and other fees. These fees include district's in-house print shop charges, transportation services, food service costs, community service facility fees, and other building transfers.
Compile and prepare information for filing monthly sales tax returns with the Minnesota Department of Revenue.
Collaborate on the external audit of district financial statements by preparing year-end reports, reconciliation of the general ledger account balances, including prepaid, inventory, accounts payable, and providing information in a timely manner to external auditors as requested.
Coordinate annual unclaimed property reporting process including preparation and filing of required letters and reports.
Assist with monthly P-Card review and reconciliation process including review of P-Card transactions.
Fulfill duties of other finance department positions during absences.
Other duties as assigned.

JOB SPECIFICATIONS (EDUCATION, LICENSE, EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):
Required:

Two-year degree or equivalent relevant experience in accounting, audit, or finance.
Proven abilities in Excel and Word applications, including spreadsheet development.
Ability to prioritize work and meet constant deadlines with limited supervision.
Demonstrates involvement in continuous improvement, both personal and district-wide.
Prompt, regular and reliable attendance.
Communicate with students, parents, co-workers, supervisors, and the community in a positive and responsive way that is consistently welcoming and enhances effective work relationships.
Demonstrates an appreciation of diversity in all interactions and job functions.

Desired:

Familiarity with fund accounting and UFARS.
Background working in accounting or finance related field.
