POSITION SUMMARY
The primary purpose of this position is to maintain student records at the campus level. These records include, but are not limited to, attendance records, immunization records, grades, and transfer information, transcript requests and schedules.
RESPONSIBILITIES AND DUTIES
- Maintain confidentiality surrounding student records and information
- Evaluate routine transcripts for new students to determine appropriate and equivalent awarding of credits and grade placement
- Collaborate with administrators/counselor regarding transcript evaluation of out-of-state, out-of-country, private school, and/or home school transcripts or situations
- Communicate with other school entities to gather and/or provide information regarding programming in an effort to clarify course titles, program structures, grading scales, and scheduling models that affect the awarding of credits
- Remain current regarding requirements AND perform tasks associated with but not limited to:
- Admissions, registration, withdrawal, guardianship, and transfer rules and regulations
- District retention, promotion, and reclassification policies and procedures
- PEIMS coding
- TREX
- Graduation requirements and graduation cohorts
- Collaborate with appropriate departments to ensure accuracy and adherence to laws regarding admissions, registration, withdrawal, guardianship, and transfers
- Compile, maintain, and distribute accurate senior ranks and GPAs
- Create and/or maintain school records and cumulative folders
- Create and/or maintain progress reports, report card grades, emergency card information, and student demographic information
- Collaborate with campus administrators to prepare for, organize, and facilitate the new student registration process
- Collaborate with campus administrators and/or administrative staff to complete the Dropout Recovery process
- Perform duties associated with graduation as listed:
- Verify diploma cards to ensure accuracy with birth certificate information
- Process GPAs for all graduates
- Prepare graduation name cards for the ceremony
- Distribute final transcripts to colleges immediately after graduation
- Compile graduation information for state reports
- Performs other job related duties as assigned
QUALIFICATIONS
- Bachelor’s degree preferred
- Minimum of 2 years experience as a Registrar, Admissions Counselor, and/or PEIMS Coordinator
- Experience working with diverse student populations, parents, and other stakeholders
OTHER POSITION REQUIREMENTS
- Maintain regular attendance.
- Ability to adjust the eye to bring an object into focus; judge distance (close and distant); reach with arms extended and use hands to manipulate the keyboard, smart board and other office/classroom technology.
- Ability to lift/carry up to 25 pounds, including but not limited to: books, paper and instructional/office materials/supplies.
- This position requires frequent standing, walking, sitting, bending, kneeling and/or the ability to be mobile.
- May work prolonged or irregular hours; maintain emotional control under stress.
- Ability to travel districtwide and statewide as needed by means of personal/private or public transportation in compliance with the state’s department of motor vehicle and/or public transportation laws.

- Ability to plan and present information to a variety of audiences
- Skills in written and oral communication, planning, and organization
- Knowledge of current educational trends, methods, research, and technology in area of responsibility
- In-depth knowledge of assigned program and service area
- Ability to collect, analyze and interpret data
