ABOUT THE POSITION & ITS IMPACT
The Administrative Support role is a vital part of our Outpatient Programs, serving both the Intensive Outpatient Program (IOP) and the Onsite Group Practice (OGP). This position ensures a seamless client experience by handling insurance coverage, payment processes, billing, and registration while delivering exceptional hospitality to clients and clinicians.
Beyond the administrative details, this role is a direct lifeline in our clients’ healing journey. The accuracy of your work, the compassion in your voice, and the care you extend to both clients and clinicians helps remove barriers so that individuals can focus fully on their growth, restoration, and transformation. You will be one of the quiet but essential forces behind the life-changing experiences that unfold here.
ABOUT THE DAY-TO-DAY IN THIS ROLE:
- Provide front-office support including scheduling, room setup, and session attendance tracking
- Guide clients through insurance billing and financial documentation, working closely with outside billing partners
- Manage Group Practice registration, pre-admissions calls, paperwork review, and fee collection
- Work directly with clinicians to collect invoices, process billing, and ensure timely payment
- Maintain accurate client information in Lightning Step and Salesforce
- Generate reports to track revenue cycle performance and support Finance, Clinical, and Admissions teams
- Respond to client inquiries and provide outstanding customer service aligned with our Healing Hospitality philosophy

This position is located in our Nashville, TN office and is a hybrid role (with some flexibility to work remotely). Outside of a normal office schedule, this position will be required to work until 9pm one night per week (with an adjusted start time) to support our evening programs.

Requirements
IDEAL EDUCATION & EXPERIENCE FOR THE ROLE:
We are open to candidates of all backgrounds and experiences. That said, candidates with the following skills and background will be especially well-suited for this role:
- Minimum of 2 years of experience in medical billing, health care administrative roles or similar positions
- Proficiency in electronic medical records systems and MS Office
- Strong organizational skills with an ability to manage multiple priorities
- Excellent communication skills for interacting with clients, clinicians, and billing partners
