GENERAL OVERVIEW:

This is a position consisting of clinic call-center responsibilities and coverage when the front reception desk is short-staffed. Provides exceptional customer service to patients in person and over the phone. Involves answering incoming calls, scheduling appointments, managing patient inquiries, checking patients in and out, and ensuring accurate and efficient communication and workflow.


RESPONSIBILITIES

Call Center

  • Manages large volumes of inbound calls in a timely manner; always identifying clinic and how to direct call.
  • Manages voicemails in a timely manner.
  • Aids patients and other entities contacting the clinic by telephone; may provide direct assistance, take messages, and route call to appropriate parties.
  • Schedules and cancels patient appointments
  • Composes intelligible messages; clarifies information, includes crucial details and routes to the correct recipient.
  • Updates any changes in patients’ demographic information in EMR.
  • Follows communication “scripts” when necessary.
  • Other duties as assigned.

Front Desk

  • Greets customers in a polite, prompt, and helpful manner. Provides any necessary instructions/directions. Informs appropriate department/person of patients’ arrival.
  • Manages the patient check-in and check-out process.
  • Updates patient demographics and insurance.
  • Provides any necessary forms needing completion and obtains signatures.
  • Generates information necessary for billing.
  • Collects copays, deductibles, and past-due balances. 
  • Maintains and updates current information on physicians’ schedules, ensuring that patients are scheduled properly and appointments are confirmed.
  • Answers patient inquiries regarding appointments, billing, insurance, etc.
  • Communicate effectively with patients, physicians, nurses, and other clinic staff.
  • Maintain a clean and organized reception area.
  • Other duties as assigned.

TRAVEL

  • Occasional travel to one of our other locations may be required. Travel would occur during the normal work day (between 8:00am and 5:00pm). 

Requirements

QUALIFICATIONS

  • Driver License Required.
  • High school diploma or GED. 
  • Minimum of 1 year experience in an office setting, preferably in customer service/healthcare.
  • Excellent communication, interpersonal, and active listening skills.
  • Ability to handle a high volume of calls efficiently and maintain composure under pressure.
  • Strong computer skills, including experience with phone systems, EMR systems.
  • Knowledge of medical terminology and procedures is a plus.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work independently and as part of a team.  
  • Must be able to type 40 WPM. 


PHYSICAL DEMANDS: Sitting for 8 hours/day. Required eye/hand coordination and finger dexterity for typing on a computer keyboard. Vision must be corrected to 20/20 and hearing must be in normal range. Must be able to view computer screens for long periods of time. Driving may be required. 


WORK ENVIRONMENT: This job operates in a busy medical office environment. This role uses standard office equipment such as computers and phones.
