Job Summary:

The Facilities Manager is responsible for the oversight, maintenance, safety, and operational efficiency of all company facilities, including pharmacy areas, warehouse areas, administrative offices, and shared workspaces. This role ensures compliance with regulatory standards, manages vendors and contractors, and supports pharmacy/wholesale-specific facility needs such as environmental controls and pharmaceutical storage standards. Primary Duties and Responsibilities

 

  1. Facility Operations & Maintenance
    1. Oversee the daily operation and upkeep of all physical facilities, including pharmacy, wholesale, and office spaces.
    2. Coordinate preventative and reactive maintenance for HVAC, plumbing, electrical, security systems, and pharmacy-specific equipment (e.g., refrigeration units).
    3. Manage janitorial services and ensure cleanliness standards are met in accordance with healthcare regulations and general office expectations.
    4. Ensure physical security and access control systems are functioning properly.
    5. Schedule and supervise preventative maintenance and emergency repairs.
  2. Vendor and Contractor Management
    1. Manage relationships with external service providers for janitorial, maintenance, pest control, landscaping, equipment service, and construction projects.
    2. Source, select, and manage third-party service providers, including contractors, repair services, waste management, and utility vendors.
    3. Negotiate service contracts, monitor performance, and ensure adherence to service-level agreements.
  3. Compliance & Safety
    1. Ensure compliance with OSHA, local building codes, fire regulations, and industry standards.
    2. Conduct regular safety inspections, risk assessments, and emergency preparedness drills.
    3. Work closely with quality and compliance teams to ensure facility readiness for audits (e.g., FDA, DEA, State Board of Pharmacy).
    4. Maintain and monitor environmental controls in pharmacy and wholesale areas (temperature, humidity, air filtration).

 

 

  1. Facility Planning & Projects
    1. Plan and execute layout changes, expansions, equipment upgrades, or new facility rollouts in coordination with operations leadership.
    2. Support capacity planning and infrastructure projects aligned with business growth.
  2. Budgeting & Reporting
    1. Prepare and manage the facilities’ operating budget including utilities, repairs, and capital improvements.
    2. Track expenses, monitor KPIs, and present regular facility performance reports.
    3. Lead office space planning, buildouts, renovations, and facility improvement projects.
    4. Manage relocation and expansion projects as needed, ensuring minimal disruption to pharmacy and business operations.
  3. Team Supervision
    1. Lead and develop facilities and maintenance staff, including scheduling, training, and performance management.
    2. Promote a culture of safety, accountability, and service excellence.
  4. Regular and reliable attendance expected. 
  5. Other work-related duties as assigned by supervisor/manager.
