The City of Robbinsdale has an opening for an Administrative Support- City Services position. This full-time position is the first point of contact for many visitors to City Hall, helping them complete transactions or referring them to the right person. The job is heavily customer facing, while also performing a variety of administrative tasks to support different departments across the City. We seek someone who thrives on working with customers from all walks of life, and enjoys a fast-paced work environment with a lot of variety.

Position Objective:
The Administrative Support- City Services position greets and provides customer service to the public by telephone, email, and in-person, as well as supporting multiple City departments with various administrative tasks.

Position Duties

Professional/Technical Duties and Responsibilities:

  • Welcomes and greets all visitors to City Hall, providing information and assistance to residents and customers.  Answers all calls to the City's main line.  Notifies appropriate staff of visitors and directs them to the right office/meeting room.
  • Assist with data entry, scanning, filing, updating records, processing payments, sorting checks, and providing customer service in various departments.
  • Registers participants for various City programs.
  • Handle all incoming and outgoing mail and packages, ensuring proper distribution to relevant departments.
  • Assists with all facets of elections, as directed by City Clerk.
  • Receives water utility payments and confirms billing information.
  • Processes and maintains records for Robbinsdale Pet licenses.
  • May assist with copying and assembling Council and Commission packets, and other work supporting elected officials and commissioners.
  • Maintains a clean and organized front counter, ensuring forms and supplies are stocked.
  • Performs opening and closing tasks.
  • Completes a daily cash report balancing the previous day’s transactions and makes out the bank deposit slip and deposit bag for pickup by bank.  Calls in bank bags for dispatch.
  • May serve as a notary public.
  • Performs other job-related duties as assigned.

Knowledge, Skills, and Abilities:

  • Proficient in customer service with strong interpersonal skills
  • Effective communication skills, both written and verbal
  • Proficient in Office 365 applications
  • Ability to operate general office equipment
  • Strong organizational skills and attention to detail
  • Ability to multitask and prioritize tasks efficiently
  • Time management skills
  • Problem-solving and critical thinking abilities

Education and Experience:
  • High School Diploma or GED
  • Experience in an office setting, preferably in an administrative or similar role

Other Qualifications

Physical Requirements:
The role requires the ability to sit for extended periods, perform repetitive tasks, and occasionally lift office supplies or packages. 

Working Conditions:
This position is primarily office-based, located at City Hall. The work environment is typically a general office setting with regular hours. The role may require occasional evening or weekend work, especially during election periods or for specific projects.  The current position is budgeted for 20 hours per week with occasional opportunities to work additional hours.
