Position Type: Full-time in-office role, four days per week, with one day remote work. Occasional travel (<30%).
About the Role:
The Program Operations Manager provides managerial support to Spirit of America (SOA) program activities from concept ideation to implementation to closeout and evaluation, ensuring seamless execution through the organization’s selected project management software. This role serves as an operational bridge between International Operations (IO), Development, Marketing, Compliance, and Finance, ensuring all stakeholders have the information, resources, and support they need to achieve SOA’s mission. He or she handles day-to-day information management for IO and executes some projects to increase IO management capability, with the guidance of the VP of Program Operations.
The ideal candidate is a team player with exceptional organizational skills, strong attention to detail, superlative information management skills, and the ability to manage multiple priorities across departments while maintaining a high standard of coordination, administration, and quality execution. He or she will ideally have a proven track record of identifying systems and capabilities needs, and generating tech, process, and training solutions.
Key Responsibilities:
Program Cycle Support
- Monitor the planning, implementation, monitoring, and closure of all SoA program activities, ensuring data is captured and information about IO activities is up to date, widely available and utilized. Ensure a high degree of visibility for the CEO and support departments of IO activities
- Work closely with program regional teams to ensure all project records, data, and documentation are up to date and accurate in the system
- Track funds commitment and expenditure of IO activities to ensure a high degree of visibility of funds availability
- Identify process improvements to enhance efficiency and effectiveness in program operations
Cross Departmental Coordination
- Maintain close, proactive communication with the Development and Marketing teams to ensure they receive timely and accurate program information to support fundraising, donor relations, and public outreach
- Work closely with Compliance and Finance teams to ensure third-party vetting, export control processes, contracts, and other regulatory requirements from field teams are carried out quickly and effectively
- Assist regional teams to ensure activities comply with applicable laws, regulations, and organizational policies by researching and resolving queries with compliance and other SOA departments
- Oversee travel approvals and itinerary tracking for SOA staff abroad, ensuring risk mitigation measures are implemented and team is supported
Information Management & Reporting
- Oversee accurate entry, management, and reporting of program data to support internal decision-making and external reporting requirements
- Develop dashboards, reports, and updates to inform leadership, donors, and stakeholders about program progress and impact
IO Capability Support
- As needed, articulate requirements for training, software, or other capabilities that will improve the performance, efficiency, safety, or security of IO teams and team members, for example HEAT training, OPSEC training
- Conduct market research and oversee procurement and implementation of solutions
Qualifications:
Required:
- Bachelor’s degree in international relations, business administration, nonprofit management, or related field.
- Minimum 10 years of experience in program operations, project management, or a related role, ideally in an international or nonprofit context.
- Proven track record of managing multi-stakeholder projects across multiple geographies and stakeholders.
- Proficiency in program/project management software and data reporting tools.
- Exceptional communication, coordination, and problem-solving skills.
Preferred:
- US Military veteran
- Familiarity with compliance requirements related to export control, contracting, and vetting.
- Experience working with development, marketing, or fundraising teams.
- Knowledge of U.S. government regulations affecting international assistance and nonprofit operations.
- Familiarity with risk assessment and mitigation in international contexts.
Compensation:
Salary ranges from $120,000 to $150,000 based on experience. Benefits include medical, dental, and vision insurance, and 403(b) contributions match to 4%.
