Job Description:The Accounts Payable Manager oversees the entire accounts payable process, ensuring timely and accurate processing of vendor invoices and payments. This role is responsible for supervising staff, maintaining financial records, resolving discrepancies, and ensuring compliance with internal policies and external regulations. The Accounts Payable Manager role is expected to collaborate and coordinate across the organization to ensure accuracy and completeness in the recorded accounts payable balances.
Key Responsibilities:
- Team Leadership & Supervision
- Manage and mentor the accounts payable team.
- Assign tasks, monitor performance, and conduct evaluations.
- Provide training and development opportunities.
- Invoice Processing
- Oversee the accurate and timely processing of vendor invoices.
- Ensure proper coding and approval of invoices.
- Monitor invoice aging and resolve delays.
- Payment Management
- Schedule and execute payments (ACH, wire transfers, checks).
- Ensure payments are made in accordance with company policies and vendor terms.
- Prevent duplicate payments and manage payment holds.
- Vendor Relations
- Maintain positive relationships with vendors and suppliers.
- Resolve payment disputes and discrepancies.
- Ensure vendor records are accurate and up to date.
- Reconciliation & Reporting
- Reconcile accounts payable ledger to general ledger.
- Prepare monthly, quarterly, and annual AP reports.
- Support financial audits with documentation and analysis.
- Compliance & Controls
- Ensure adherence to internal controls and company policies.
- Monitor compliance with tax regulations and reporting requirements.
- Implement process improvements and automation initiatives.
- System & Process Management
- Maintain and optimize AP systems and software.
- Collaborate with IT and finance teams on system upgrades.
- Identify and implement efficiency improvements.
Compensation range: $110,000.00 - $120,000.00 Annually
Qualifications:Skills and Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- 5+ years of experience in accounts payable or general accounting.
- 2+ years in a supervisory or managerial role.
- Experience with ERP systems (e.g., SAP, Oracle, NetSuite).
- Familiarity with automated AP tools and process improvement initiatives.
- Relevant certification (e.g., Certified Accounts Payable Associate, CAPA) is a plus.
Functional skills:
- Strong understanding of accounts payable processes.
- Familiarity with general ledger accounting and financial reporting.
- Knowledge of GAAP (Generally Accepted Accounting Principles).
- Experience with AP automation tools and invoice processing software.
- Ability to analyze financial data and generate reports.
- Skilled in Excel (pivot tables, VLOOKUP, formulas).
- Understanding of internal control frameworks.
- Ability to implement and monitor financial controls.
- Experience in streamlining AP workflows.
- Managing vendor relationships and resolving payment issues.
- Ensuring accurate vendor records and compliance with terms.
