Support managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
- Enter and manage production work orders into a database, tracking quantities and hours for efficiency purposes. Reconcile quantities and hours with other other systems.
- Work closely with Human Resources, Employment Center, Security, and IT to ensure employees information is accurate and they have the accesses they require. Be a direct point of contact for employees which can grow up to 1,500+ during peak season.
- Track, manage, and facilitate employee attendance reports with a database, reconciling with our timekeeping system (ADP).
- Manage several call-in phone lines, mailboxes, and be able to answer and respond in a timely manner or direct to appropriate department/persons.
- Work daily and weekly within a payroll system to make sure punches and time are accurate, schedules are up to date, any PTO is entered, etc. for up to 1,500+ employees in several departments. Assist Payroll in closing (weekly) and signing off (bi-weekly) of all employees within our groups.
- Manage job requisitions between Employment Center and Managers to ensure timely and accurate hiring of employees for all departments.
- Work with Managers and Senior Supervisors to help facilitate and enter employee change forms, separation forms, etc. maintaining employee accuracy and timeliness.
- Manage incentive pay programs, such as Packer Tally, through SAP and ADP.
- Develop and maintain programs and training guides to help supervisors or employees with any tasks, such as transferring time, filling out change forms of LSF, correctly coding employees’ absences on timesheets and ADP, etc.
- Manage and maintain several spreadsheets and databases.
