Position Summary

The position of Inventory Specialist is responsible for the safekeeping of all items in the OrganOx Maintenance Center, coordinating shipments for spare parts and devices, updating inventory count, maintaining inventory records and the processing of receiving and dispatching of items.

The key areas of responsibility are:

·       Stock control in the OrganOx Maintenance Centers with a strong emphasis on maintaining a high level of stock accuracy.

·       Ensuring that all stock in the Maintenance Centers is organized, properly stored, and in good condition.

·       Incoming inspection and receipt of items into stock from suppliers, customer returns or internal transfers.

·       Picking, packing and dispatch of items from OrganOx Maintenance Centers to customers, suppliers or for internal consumption.

·       Arranging and tracking shipments for spare parts and devices.

·       Updating OrganOx ERP system with incoming and outgoing items, completing stock transfer requests and delivery notes.

·       Performing monthly, quarterly and yearly inventory cycle counts; and completing stock counting transactions to update OrganOx ERP system.

This is an onsite role based in Madison, New Jersey. The Inventory Specialist needs to be onsite 5 days/week to support inventory picking, packing, shipping and receiving.

Listed below are the key responsibilities of the role and a brief description of some of the key tasks to be performed. This list is not totally inclusive, and the job holder will be expected to complete tasks reasonably requested by the Operations Manager or the Operations Director. 

Major Responsibilities

·       Receiving goods from suppliers and other stock locations into the OrganOx Maintenance Center and entering into OrganOx ERP system. Informing the Operations Manager where there is a discrepancy with the supplier purchase order, stock transfer request or delivery note.

·       Picking and packing of items for dispatch and entering into the OrganOx ERP system for dispatch to external locations.

·       Picking the items required for servicing use and replenishing stock in the local Maintenance Centers. Transferring the items using the Stock Transfer Order (STO) or Delivery process on the OrganOx ERP system.

·       Arranging spare part shipments, device swaps and material returns from customers through our 3PL or approved carrier service.

·       Management of the Return Material Authorisation (RMA) process to enable the return of material to suppliers or OrganOx Limited.

·       Maintaining the inventory accuracy of the ERP system against the physical inventory. Perform regular stock checks and make the relevant stock adjustments for the approval of Operations Manager.

·       Management of the quarantine process in the OrganOx Maintenance Center. Ensuring the items are appropriately handled and segregated.

·       Ensuring that all goods in the OrganOx Maintenance Center are appropriately handled and stored and in a safe manner.

·       Reporting inventory accuracy on a monthly basis and escalating any discrepancies.

·       Collaborating with cross functional teams and Operations leadership to ensure products and services are provided to all internal and external customers on time.

·       Maintaining positive and engaged relationships with all customers and third-party logistics vendor.

·       Reporting monthly spare part inventory usage.

·       Adhere to the letter and spirit of OrganOx’s Code of Conduct and all other company policies.

Requirements

Skills & Experience

·       Excellent time management skills

·       Excellent customer service and communication skills

·       Good knowledge of Word and Excel

·       Adaptable in a continuously evolving environment

·       High level of attention to detail

·       Ability to lift/push/pull up to 50 lbs.

 

Work Environment

·       Working hours will be spent in the stockroom, organizing inventory and coordinating shipments.

·       Standard 40-hour workweek applies.

·       Physical labor such as lifting and moving heavy boxes of supplies may be required on a regular basis.

·       During the early months some travel may be required.

 

Qualifications

·       A minimum of a Bachelor’s degree or equivalent experience

·       A minimum of 5 years’ experience in inventory support or logistics

·       Must have prior experience working in inventory management and shipment coordination

·       Previous inventory management experience a warehouse or storeroom environment is required

·       Previous experience in working with an ERP system is required; experience with SAP is preferred

·       Experience in the medical device industry is preferred

·       Ability to travel up to 5% of the time domestically

·       Flexibility to work after hours or weekends for urgent requests

Benefits

The Pay Range for this position is $80,000 - $90,000 annually, with a 10% target annual bonus and benefits.
