The City of Boise is hiring a Legal Municipal Assistant!
The Legal Municipal Assistant provides a wide range of administrative and clerical support to the City’s Legal Department. This role is ideal for individuals with strong organizational and administrative skills who are interested in gaining experience in a legal environment. Responsibilities include coordinating travel, processing public records requests, ensuring professional certifications are current, organizing and maintaining legal files, and supporting attorneys with document preparation and department operations. Position Duties
Handles moderately complex issues and problems and refers more complex issues to higher-level staff.
Creates and maintains electronic civil case files. Utilizes the case and document management systems to scan, maintain, organize and close all electronic case files. Handles information of a sensitive or confidential nature in a professional manner.
Reviews a variety of legal documents and letters for grammar and punctuation, accuracy and completeness utilizing various legal and grammatical resources. Electronically and/or manually files documents with appropriate authority, agency, or court. Records judgments and other documents with the recorder’s office. Organizes documents for assigned attorneys prior to hearing or trial.
Processes incoming legal documents, forms and records including complaints, real estate contracts, resolutions, and ordinances. Ensures all newly received documents conform to established policies and regulations for routing to the appropriate civil staff.
Serves as a backup to the reception desk by professionally greeting and directing visitors to appropriate locations and personnel. Courteously answers a multi-line phone system and transfers calls to appropriate employee after ascertaining from the customer the nature of the inquiry or request. Responds to information requests and provides legal information about court processes, court rules, court records, and forms, which is differentiated from legal advice which is only given by an attorney.

Minimum Qualifications
Required Knowledge, Experience, And Training
High school diploma or equivalent and two years of progressively responsible experience in providing administrative and or operational support, or an equivalent combination of education and/or experience.
Knowledge of:
- Standard office practices
- Best practice methods
- Equipment including computers and modern computer software
Ability to:
- Interpret legal documents
- Governing regulations, policies, and procedures under the supervision of a paralegal or attorney
- Effectively explain departmentally and court policies and procedures
- Maintain a high level of confidentiality
- Remain calm in stressful situations and deal courteously, professionally, and firmly with individuals who may be emotional in order to convey critical information
- Operate a personal computer using word processing, database, e-mail, document management, imaging/scanning, and/or spreadsheet software
- Type a minimum of 50 wpm, consolidate information from various sources into a prescribed format
- Manage high-volume caseload responsibilities with continuous interruptions and occasionally conflicting priorities
- Use correct English grammar, punctuation and spelling
- Work independently and in a team environment using appropriate discretion and judgment, occasionally with minimal direct supervision
- Display an attitude of cooperation and work harmoniously with all levels of city employees the general public and other organizations
- Communicate effectively in the English language at a level necessary for efficient job performance
- Perform all essential functions as assigned by an authorized employee, supervisor and/or manager with or without reasonable accommodation.
Individuals must be capable of operating vehicles safely and have an acceptable driving record.
Preferred Knowledge, Experience, And Training
Three years of progressively responsible experience providing administrative and/or clerical support in a legal environment, with emphasis on reviewing and/or organizing legal documents.
Functional knowledge of:; legal terminology, forms, methods, and procedures; what legal information can be provided by support staff and what can only be provided by a licensed attorney; legal/litigation procedures; citation rules; rules of court; the discovery process; trial preparation processes; case file management.
Licensing And Other Requirements
Valid state-issued driver's license

City of Boise background check processes which includes a criminal history check and reference checks in accordance with the City of Boise Hiring Process Regulation
Driving Record Check
Criminal Justice Information System background check (CJIS)
