SUMMARY

The Fleet Manager is responsible for the overall administration, management, safety, compliance, and efficiency of the cooperative’s transportation fleet. This includes trucks, trailers, tankers, rental equipment, rigs, and support vehicles used across various business units. The Fleet Manager ensures timely and cost-effective transport of products, proper vehicle maintenance, driver coordination, and compliance with all regulatory requirements.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

(Includes the following and other duties may be assigned)

 

Fleet Operations & Management:

  • Track and report key performance indicators (KPIs) related to fuel use, vehicle utilization, and lease terms.
  • Track and maintain Geotab devices on all rolling stock.
  • Evaluate and recommend purchasing, leasing, or selling of our application rigs and equipment.

Maintenance & Repairs:

  • Coordinate and schedule preventative maintenance and repairs to minimize downtime.
  • Maintain accurate records of service, inspections, and repairs using a fleet management system.
  • Manage relationships with internal shop staff or external service vendors.

Regulatory Compliance & Safety:

  • Ensure full compliance with FMCSA, DOT, PHMSA, and state-level transportation regulations.
  • Maintain required permits, licenses, registrations, and safety certifications.
  • Implement and oversee vehicle and driver safety programs, including training and audits.

Driver Oversight & Support:

  • Ensure drivers are trained in safety, compliance, and cooperative policies.
  • Assess, Design, Develop, Implement, and Evaluate all programs surrounding dash cams and telematics.
  • Foster a positive safety culture and high standards of customer service.

Budgeting & Cost Control:

  • Develop and manage the fleet department budget including fuel and maintenance.
  • Monitor and control operational expenses, identifying areas for savings and efficiencies.
  • Evaluate and recommend new vehicle purchases or lease options based on lifecycle cost analysis.

SUPERVISORY RESPONSIBILITIES 

Directly supervises Mechanic(s) and Service Center Technician(s). Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.  Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems and verifying timecards. 

 

QUALIFICATIONS

EDUCATION and/or EXPERIENCE 

  • 2+ years of experience in fleet or transportation management, preferably in agriculture, construction, or logistics.
  • Strong understanding of DOT/FMSCA regulations and fleet safety practices. 
  • Proficiency with fleet management software and logistics systems. 
  • Excellent leadership, communication, and organizational skills.

LANGUAGE SKILLS 

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence 

 

MATHEMATICAL SKILLS 

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, volume, and weights.

 

REASONING ABILITY

The ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Able to deal with problems with several concrete variables in standard situations.  Must be able to think quickly and perform a mental assessment of workplace hazards, take appropriate precautions, and choose appropriate personal protective equipment as dictated by need, regulation and labeling.
