The Stanford University Department of Athletics, Physical Education, and Recreation is currently accepting applications for the position of Insurance Specialist, reporting to the Associate Athletic Director, Sports Medicine, you will be working cohesively and collaboratively with Stanford athletic trainers, physical therapists, sports performance coaches, and sports science specialists. You must be an effective communicator, passionate about wellness and scholar-athleticism, and skilled in data management and analysis.

Job Purpose:

The DAPER Insurance Coordinator plays an important and unique role in the Sports Medicine Department. The insurance coordinator is responsible for identifying and maintaining record of current insurance coverage for all Stanford varsity student-athletes. The candidate must have an understanding of the many benefits and coverages offered by different insurance providers (Medi Cal, Kaiser, Aetna, Cardinal Care, etc) in order to advise and educate student-athletes and their families regarding their options.

The candidate must be able to facilitate and maintain relationships with DAPER, Vaden/Student Health  and Stanford Hospital and Clinics (SHC) staff.  High level communication skills will be needed to explain DAPER/SHC policy and procedures surrounding insurance coverage and payment. The candidate must have excellent organizational skills and the ability to manage incoming bills and payments for several different payers.

CORE DUTIES:

  • Ensure primary insurance information is current and correct in EPIC and all billing systems for varsity student-athletes.

  • Ensure all current student-athletes have active primary insurance

    • Responsible for regularly assessing current/active insurance status of student-athletes

  • Serve as the primary contact point between student-athletes/parents as well as DAPER staff (especially AT and PT) for any and all insurance related questions and communication of coverage decisions.

    • Coverage benefits, Cardinal Care initiation, etc

  • Serve as primary contact person for all Vaden related insurance application deadlines for Cardinal Care.

  • Add/remove secondary insurance coverage based on established criteria and communicate discrepancies in real time.

  • Process/assist with claims for dental care and durable medical equipment (DME)/orthopedic brace.

  • Monitor and clear athlete work queues in EPIC daily, identify anyone potentially uninsured

  • Build, communicate, and sustain a professional relationship with SHC teams regarding EPIC billing

    • Timely resolution of billing discrepancies and help to resolve coordination of benefits issues.

  • Interface with NCAA and/or outside secondary insurance for any student-athlete related health insurance claims.

  • Work collaboratively with the sports medicine clinic (SMC) to help answer clinic phones, schedule appointments, check in/out patients, and create MRNs, and other administrative tasks on an as-needed basis.

  • Complete all regulatory training modules in a timely manner

    • HIPAA compliant

MINIMUM REQUIREMENTS:

Education & Experience:

High school diploma or equivalent.

Two year degree or certification in a related field or specialty.

Knowledge, Skills and Abilities:

  • Excellent communication, administrative, time management and interpersonal skills.

  • Strong working knowledge of computer applications for data organization/management and communication. Including Google sheets/docs.

  • Working knowledge of electronic medical record keeping.

  • Working knowledge of HIPAA requirements.

Certifications and Licenses:

HIPAA training.

PHYSICAL REQUIREMENTS*:

  • Frequently perform desk-based computer tasks, twist/bend/stoop/squat, grasp lightly/fine manipulation, grasp forcefully; rarely writing by hand, sort/file paperwork or parts, kneel/crawl, operate foot and/or hand controls, lift/carry/push/pull objects that weigh up to 40 pounds.

The expected pay range for this position is $99,015 to $100,000 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
