As Executive Assistant, you will support the Chief Financial Officer (CFO) and assisting in easing the workload by taking on most of the administrative duties, leaving the executive to focus on decision making. You will also support the wider Finance team, as well as the Executive Assistant cohort. This position is a 12 month Fixed Term contract.
Your Responsibilities
Executive Support to the CFO:
- Provide comprehensive diary management for the CFO, including scheduling meetings and coordinating meetings with internal and external stakeholders such as clients, suppliers, and key partners.
- Handle the scheduling and booking of travel arrangements for the CFO and leadership team.
- Screen and manage emails and correspondence, drafting executive-level responses as required.
- Review, prepare, and process the CFO’s expenses and assist with the review of expense claims from direct reports to ensure accuracy and compliance with company policies.
- Assist in preparing, reviewing, and approving policy changes, such as Travel & Expense and Volunteer Leave policies.
- Support the CFO in the execution of legal documents, including contracts and board signoffs.
- Prepare presentations and relevant materials for meetings, ensuring that the necessary papers and information are organised and available on time.
Finance Team Management:
- Oversee the onboarding process for new Finance team members.
- Facilitate communication and collaboration between the Finance Leadership Team, the CFO, and external departments, fostering cross-departmental alignment and teamwork.
- Plan and execute Finance team events, including venue selection, activity planning, and coordinating associated travel.
Project Management and Administration:
- Assist with ad hoc administrative tasks and manage various projects to improve workflow within the finance department.
- Identify bottlenecks in processes and help streamline tasks.
- Coordinate and assist in planning internal events with the Social Committee.
LGT Volunteering Coordinator:
- Oversee and manage LGT Crestone's employee volunteering program.
- Work with international LGT volunteering coordinators to ensure alignment of goals and activities.
- Coordinate, manage, and promote volunteering opportunities and events for employees, enhancing corporate social responsibility efforts.
About You
You are an organised and proactive professional with a tertiary qualification in Business Administration, Management, Finance, or a related field (Diploma or Degree), and proven experience supporting executive leaders in high-demand, fast-paced corporate environments—ideally within the financial sector. You excel at managing multiple and conflicting priorities through strong time management, outstanding organisational skills, and the ability to remain calm and focused under pressure.
Your high level of initiative allows you to anticipate needs, address challenges before they arise, and independently solve problems, ensuring executives are always supported. You have advanced proficiency in the MS Office Suite, adapt quickly to new technologies, and consistently maintain discretion and accuracy in handling sensitive information and reviewing documentation. Driven by a cooperative mindset and strong ethical standards, you communicate clearly, collaborate effectively, and continuously deliver high-quality results with meticulous attention to detail.
