Program Assistant- Bilingual (Spanish)

 

The Program Assistant in the Student Services Department plays a key role in supporting the department’s daily operations, student-facing services, and internal coordination efforts. This position provides administrative, logistical, and programmatic support to the Director of Supportive Services and other team members, ensuring smooth delivery of services and events for the school community. This role requires excellent organizational skills, a proactive and service-oriented mindset, and the ability to manage multiple priorities in a culturally diverse environment. The Program Assistant is often the first point of contact for students visiting the office and plays an essential role in maintaining a welcoming and supportive atmosphere.

 

Responsibilities:

  • Conducts preliminary student screening, refers students to internal/external services, and documents in the information in the Student Information System (SIS)
  • Maintains a variety of files/documents for the purposes of documenting services provided by the Student Services Office
  • Enters information and maintains the student services database
  • Manages office supplies, documentation, and filing for the Student Services Office
  • Assists in the preparation of all workshops (e.g. translation equipment set up, sign-in sheets, memo distribution)
  • Organizes all Student Services Office’s calendars, fliers, sign-in sheets, and extra-curricular activities information in the yearly binder
  • Maintains all equipment, materials, and cultural celebrations organized in Student Services Office’s storage room
  • Orders supplies and completes purchase orders for Student Services Office’s activities.
  • Manages the coordination and organization of internal/external meetings, and special events and programs for the department as directed by the Director
  • Assist with the coordination of the transportation program (Bikeshare, Kids Ride Free, and SmartBenefit) with the day time Program Assistant
  • Other duties as assigned

 

Qualifications:

 

  • High school diploma or equivalent, plus three years of administrative experience, or a comparable combination of education and experience.
  • Strong organizational and time management skills.
  • Proficiency in MS Office and Google Suite, with the ability to learn school-specific systems (e.g., Schoology, Maestro).
  • Clear and professional communication skills, both written and verbal.
  • Bilingual in Spanish and English (speaking, reading, and writing).
  • Ability to work independently, manage multiple priorities, and adapt to changing needs.
  • Welcoming, student-focused approach with strong interpersonal skills.
  • Experience collaborating in a team environment and working well under pressure.
  • Initiative to improve office productivity and efficiency.
  • Comfort working with individuals from diverse cultural, social, and economic backgrounds.
  • Availability to work evenings and occasional weekends.

  • Must be able to provide proof of completed COVID-19 vaccination

Salary ranges from $25.89 to $34.14 per hour based on experience.


Schedule

Monday: 12:30pm - 9:00pm

Tuesday: 12:30pm - 9:00pm

Wednesday: 12:30pm - 9:00pm

Thursday: 12:30pm - 9:00pm

Friday: 8:00am - 4:30pm
