Education Operations Coordinator: Full Time
Position Summary
GrowNYC Education cultivates agency among city communities and residents to access and actively participate in waste diversion behaviors, like composting and recycling. GrowNYC Education also delivers educational programming across several program areas across all five boroughs. The Education Operations Coordinator is a highly organized, get-the-job-done, technically savvy person. They will provide general administrative and operational support to ensure the effective and efficient operation of the Education team including data tracking, communications, reporting and materials management.
Education Operations Coordinator Responsibilities (Including but are not limited to):
Administrative
- Assist with managing our various data tracking methods including pulling, organizing and maintaining data
- Process and track purchase orders and expense reports for the Education team
- Assist with financial reports for partner invoicing and reporting while handling the information with confidentiality and discretion
- Work with Director to refine expense and finance reporting workflow
- Work closely with program leadership, managers and coordinators to ensure Netsuite submissions are correct and that the deadlines are met
- Conduct administrative duties such as inventory, copying, printing and file management
- Support with developing organizational systems that streamline work including photo saving system
- Provide procurement support by monitoring and vetting the materials request sheet for new approved submissions and assist with ordering materials and supplies
- Maintain inventories for all educational materials and promotional items
- Prepare periodic reports for outreach impacts on progress to date, next steps, and goals for the future
- Contribute to GrowNYC Education various internal and external communications and reports i.e. newsletter, social media, weekly internal reports
- Pull and clean datasets from various internal and external sources to support team reporting needs
- Respond to phone and email inquiries regarding Zero Waste and overall education programming
Logistics & Staff Support
- Help with onboarding and training new staff on various operational systems like filing systems, using Netsuite, office norms
- Help plan and organize program events with internal colleagues and external partner organizations
- Provide technical support to the team by prepping and checking equipment, materials, and supplies for events
- Provide occasional coverage and/on site logistical support for team events and workshops
- Collaborate with education staff to envision and enact new ways of reaching overarching program goals and improve efficacy of existing program models
Qualifications
- 1-3 years of experience in community outreach, engagement and relationship management.
- Demonstrated ability to manage sensitive and confidential information with high level of professionalism and discretion
- Possesses a skillset that includes solid professional knowledge and expertise in office management, planning and organizing, adherence to deadlines and timelines, adaptability, overall positive attitude, and team player.
- Highly organized with superior attention to detail and follow-through and the ability to meet multiple deadlines and prioritize responsibilities
- Proficiency in Google Workspace applications, particularly Google Sheets as well as Microsoft Excel
- Knowledge of FileMaker or similar database applications
- Passionate about composting, waste reduction, urban farming and gardening, food and nutrition education and overall environmental issues.
- Strong desire to support and collaborate with others.
- Strong solutions-focused mindset with the capacity and confidence to take initiative, be proactive, improve processes and work independently while functioning as a member of a team
- Strong oral and written communications skills including the ability to communicate/help staff on updated procedures
- Valid NYS drivers’ license.
Physical Requirements
The ability to lift and carry supplies up to 50lbs and ability to safely operate a motor vehicle.
Schedule
This position is full-time (35-40 hours per week), Monday-Friday, with some logistical field work. Occasional evening/weekend hours may be required with advance notice.
Compensation
This position is full time and non-exempt. The salary range is $52,000 - $55,000 per year and includes full benefits upon meeting the waiting period (medical, dental, vision, life insurance, long-term disability, incentive savings plan, paid time off, Public Service Loan Forgiveness available to employees) where travel throughout the city is an essential component of job duties, a metrocard will be provided. This position is not union eligible/not a part of the bargaining unit.
Location
This is a hybrid role with a minimum of 3 days per week in our Manhattan office with a mandatory presence on Wednesdays. In-person field-based work and off-site travel will be expected.
