Are you ready to have fun at work? Leaps & Bounds Pediatric Therapy is a multidisciplinary outpatient private practice in need of a New Patient Care & Schools Coordinator. At Leaps & Bounds, the family is the center of our mission, we work together on functional goals, and improve the quality of life for every family we serve. We are a fast-paced campus that offers Physical, Occupational, and Speech therapy services in a traditional clinical setting, as well as our ranch, with the incorporation of the horse as part of a comprehensive evidence-based plan (Hippotherapy).
Pay Range:
$20.00 - $22.00 an hour
The New Patient Care & School Coordinator is responsible for:
- Answers all new patient service inquiries.
- Verify insurance benefits for all new patients ensuring compliance.
- Benefit information accurately communicated to parent.
- Ensure all paperwork for evaluation is turned in prior to appointment. Positive, customer service-oriented individual that assists all interested patients. Providing resources for those patients whom we cannot serve immediately.
- Establishing, developing, and maintaining relationships with identified providers/ referrals/ and community partners.
- Work alongside marketing for meetings with physicians and referral sources.
- Maintain ongoing tracking of incoming referrals, ensuring proper documentation is received for each patient.
- All pertinent patient information forms including authorizations, prescriptions, insurance card, id, must be uploaded and saved to patients Raintree document file
- Attend community events as needed.
- Knowledge of insurance benefits, plans accepted to communicate with parent, authorizations/referrals needed, CPT Codes.
- Strives to provide resources for all interested clients waiting for services.
- Responsible for ensuring invoices are accurately sent and follow up on past due invoices promptly.
- Responsible for processing all ISA’s accurately.
- Organize and coordinate with School Staff and therapists to support scheduling for students.
- Ensure students are scheduled and work with clinicians to meet their goals, based on the IEP.
- Monitors caseload on SEIS and service delivery.
- Manage scheduling of IEPs when contacted by case managers, including both meetings and prep time.
- Monitors deadlines for progress notes, IEP documentation (present levels, progress on previous goals, draft goals and other areas as needed).
- Coordinates with therapists with any scheduling issues, changes in goals/frequency, etc.
- Monitors student attendance and progress, contact school if any concerns arise.
- Ensure all visits authorized by the ISA are scheduled and attended, including settlement funds.
- Completes weekly service delivery tracker
- Completes monthly student service logs
- Coordinate with School contracts to renew them and adjust them as needed.
- Collaborate with Clinical or Administrative Director about new contracts, including NPA renewal application.
Requirements
- Previous medical office and patient onboarding experience preferred
- Ability to comprehend established office routines and policies
- Ability to keep financial records and perform mathematical tasks
- Knowledge of medical terminology
- Understand HIPPA and OSHA regulations and privacy practices
- Good organizational skills and multi-tasked abilities
- Computer skills
- Must be able to learn quickly from oral and written instructions
- Must be dependable
- Able to work well under pressure.
- Ability to communicate well with people in personal contacts and on the phone.
- Can be trusted with confidential information.
- Can effectively act as a liaison between patients and physicians.
- Must have a neat and friendly appearance, adhering to dress code
