Vice President, Construction Administration Services

Location: Tustin, CA
Reports To: Duc Bui

Position Overview

The Vice President of Construction Administration Services is a senior leadership role responsible for overseeing, developing, and optimizing all construction administration (CA) functions across the organization. This role ensures that projects in the built environment are executed with precision, efficiency, and compliance with contractual, regulatory, and quality standards. The VP provides strategic direction, operational excellence, and technical leadership to support clients, internal project teams, and field operations throughout the construction phase.

Key Responsibilities

  • Strategic Leadership
    • Develop and implement the firm’s vision and strategy for Construction Administration Services.
    • Provide executive oversight of CA teams across all business units and geographies.
    • Establish performance metrics, best practices, and quality standards for CA services.
  • Project & Client Delivery
    • Oversee administration of construction contracts, including review of submittals, RFIs, change orders, pay applications, and punch lists.
    • Ensure compliance with specifications, codes, and regulatory requirements throughout construction phases.
    • Serve as an executive point of contact for clients, contractors, and stakeholders regarding CA services.
  • Operational Excellence
    • Implement technology solutions, systems, and processes to enhance CA efficiency and accuracy.
    • Monitor project risk, proactively address issues, and resolve escalated disputes.
    • Oversee document control, reporting, and coordination between design, engineering, and construction teams.
  • Team Leadership & Development
    • Build, mentor, and manage high-performing CA teams, including project managers, resident engineers, and field staff.
    • Provide coaching, training, and professional development to enhance technical and leadership capabilities.
    • Partner with HR to drive recruitment, retention, and career growth within the CA discipline.
  • Business Growth & Financial Management
    • Partner with executive leadership on business development opportunities by showcasing CA expertise.
    • Contribute to proposals, contract negotiations, and client presentations.
    • Manage CA budgets, staffing plans, and resource allocation to maximize profitability and efficiency.

Qualifications

  • Bachelor’s degree in Architecture, Engineering, Construction Management, or related field required; Master’s degree preferred.
  • Licensed Architect, Professional Engineer (PE), or Certified Construction Manager (CCM) strongly preferred.
  • 15+ years of progressive experience in the AEC industry, including at least 7 years in a senior leadership role overseeing construction administration.
  • Deep knowledge of construction methods, contract administration, building codes, and industry best practices.
  • Proven track record of managing large-scale, complex projects across multiple sectors (commercial, institutional, infrastructure, etc.).
  • Strong leadership, negotiation, and relationship management skills with the ability to influence at all organizational levels.
  • Expertise in project management tools, construction administration software, and digital collaboration platforms.
