About the Department

Under general supervision of the Court Administrator, performs a variety of clerical activities of moderate difficulty to facilitate the efficient, effective operation of the Ak-Chin Indian Community Courts. This position is distinguished from Deputy Court Clerk I by the additional degree of independence and responsibility exercised and the increased variety and complexity of work assignments.

Position Duties

Two (2) years experience as a Deputy Court Clerk or very closely related work may substitute as determined by the Chief Judge. Must have a High School diploma or GED. Must have a valid Arizona Driver's License and be able to meet the Community's insurance carrier requirements. Must successfully complete a background check.

Minimum Qualifications

  • Enters and tracks court case data in automated case management system. Pulls and prepares juvenile, criminal, traffic and civil case files for court calendar.
  • Maintains accurate and up-to-date case files and records.
  • Establishes and maintains court calendars of juvenile, criminal, traffic and civil cases to ensure optimum use of court time.
  • Receives and files complaints, affidavits, motions and other legal documents into the court.
  • Prepares and issues notices, subpoenas, warrants, orders and other court related documents as required.
  • Collects and records court fines and fees, cash bonds, child support and restitution.
  • Updates and maintains records of case proceedings, dispositions, actions and payments.
  • Notarizes documents, and compiles statistics.
  • Records and transcribes minutes of court proceedings.
  • Prepares and types required reports, records, and other departmental correspondence.
  • Performs a variety of support activities for the Judge in the courtroom.
  • Assists the Court Administrator and the Deputy Court Clerk I as assigned.
  • Performs other job-related duties as assigned.

Other Qualifications

  • Knowledge of general Ak-Chin Indian Community criminal, civil, and juvenile court system policies, procedures, and operations.
  • Knowledge of basic bookkeeping principles and practices.
  • Knowledge of the required contents, information and documents in case files and records.
  • Skill in establishing and maintaining effective working relationships with other criminal justice and law enforcement departments/personnel, community members, and other tribal organizations.
  • Skill in operating a variety of office equipment including telephones, copier, typewriters, calculators, and personal computers, including word processing and spreadsheet software applications.
  • Skill in understanding and following complex instructions, guidelines, policies and procedures.
  • Ability to maintain strict confidentiality in all matters within the Judicial Department.
