Job Description

SHASTA UNION HIGH SCHOOL DISTRICT ATTENDANCE TECHNICIAN DEFINITION To maintain accurate attendance records; to compile routine reports relating to student enrollment and attendance; and to provide attendance-related information and assistance to students, parents, school staff, and authorized governmental agencies. SUPERVISION RECEIVED AND EXERCISED Receives general supervision from a designated site administrator. May exercise technical and functional supervision over student assistants and assigned clerical personnel. EXAMPLES OF IMPORTANT RESPONSIBILITIES AND DUTIES--Important responsibilities and duties may include, but are not limited to, the following: Account for daily attendance of all enrolled students by making and receiving calls or notes of student absence from parents; verify absences by processing notes each day; enter data into computer involving adds, drops, codes, absences, and verifications. Process and verify student absence information from parents and teachers and issue excuses to students to be absent from classes. Assist parents in person or by phone regarding student absences; assist students, staff and visitors at counter as necessary. Maintain records of new and withdrawing students; receive and check forms for accuracy; record names, addresses, and other identifying material of students entering and dropping in a student directory. Track attendance problems; refer persistent problems to appropriate administrator for review and action; work directly with counselors and assistant principals on truancy problems. Compile information from a variety of sources and prepare routine summary reports; prepare and distribute accurate attendance reports on a periodic basis as required by District policy; analyze reports as required, identifying attendance issues and problems. Issue work permits, and locker assignments; maintain records on computer. Respond to questions and inquiries from students, teachers, and parents regarding attendance policies and practices. Train and supervise student assistants; may provide training and work direction to assigned clerical staff. Provide secretarial assistance for assigned administrators. Order supplies and maintain office equipment in good working order. Assist other school office personnel as necessary. Perform related duties and responsibilities as required. Assign students to Saturday School. QUALIFICATIONS Knowledge of: Modern office methods, practices, procedures and equipment, including the use of a computerized attendance system. Basic data entry and word processing methods, techniques and programs. English usage, spelling, grammar and punctuation. Basic arithmetic principles used in attendance and inventory record keeping. Must possess strong interpersonal skills when dealing with parents, students and staff. Ability to: Work with many interruptions Learn, communicate and apply District policies and procedures for maintaining student attendance records. Compile, verify and maintain accurate and complete records and files. Train and oversee the work of student assistants. Operate standard office machines and equipment. Type and enter data at a speed necessary for successful job performance. Make arithmetical calculations quickly and accurately. Understand and follow oral and written instructions. Learn and effectively use computer hardware and software applicable to assignment. Perform responsible clerical work with accuracy and speed. Communicate effectively, both orally and in writing. Establish and maintain cooperative working relationships with those contacted in the course of work. Compose written memorandum, notes and records as required by supervisor. EXPERIENCE AND TRAINING GUIDELINES--Any combination of experience and training that would provide the required knowledge, skills and abilities that would qualify for this job description A typical way to obtain the knowledge, skills and abilities would be: Experience: Two years of increasingly responsible general clerical experience, preferably in a school office setting. Training: Any combination equivalent to: graduation from high school supplemented by college-level courses in business, secretarial science or related field and three years of increasingly responsible secretarial and clerical office experience involving public contact. PHYSICAL DEMANDS Dexterity of hands and fingers to operate a computer and standard office equipment. Hearing and speaking to exchange information in person and on the telephone. Seeing to read a variety of materials. Bending at the waist, kneeling or crouching to file materials. Reaching overhead, above the shoulders and horizontally to retrieve files. Persons performing service in this position classification-will exert 10 to 20 pounds of force occasionally to lift, carry, push, pull, or otherwise move objects. May occasionally lift and stack heavy objects not to exceed 25 lbs. ESC Rated 11/1/2005 Board Approved 4/18/2006
