Job Summary
The Warehouse Coordinator executes daily warehouse shipping operations, inventory control, and ensures accurate counting, movement, and documentation of full goods, packaging materials, and finished products. This position is responsible for managing all aspects of inbound and outbound shipments, including scheduling, coordinating with carriers and drivers, preparing shipping and receiving documentation, and ensuring timely and accurate receipt and dispatch of goods. The Warehouse Coordinator supports the shift supervisor in managing inventory, supporting warehouse associates, and maintaining compliance with company and regulatory standards. The coordinator is accountable for inventory accuracy, operational efficiency, and supporting audits and process improvements across all shipping and warehouse functions.
Duties and Responsibilities
- Inbound and Outbound Shipment Management:
- Coordinates and manages all inbound and outbound shipments, ensuring timely receipt and dispatch of materials and products
- Check in all inbound and outbound loads and drivers, verifying documentation and load accuracy
- Prepares and review shipping and receiving documents, including bills of lading, packing lists, and shipment tags
- Tracks the status of shipments and resolve any discrepancies or delays, escalating issues to supervisors as needed
- Records and report trailer movements, drop lot activity, and dock utilization
- Assists with inbound and outbound load check-in, driver coordination, and shipment documentation
- Inventory Control:
- Conducts regular and cycle counts of full goods, packaging materials, and finished products, ensuring accuracy in physical and system records
- Applies and verifies correct tags on all inventory items; ensure all pallets and partials have dust covers when required
- Investigates and resolves inventory discrepancies, reports issues to the supervisor, and implements corrective actions
- Prepares for and participates in internal and external audits, including weekend work as necessary
- Warehouse Operations:
- Organizes and consolidates inventory to optimize storage and prepare for incoming shipments or production runs
- Assists in locating inventory items, including full goods, packaging, and materials, for internal departments and outgoing shipments
- Organizes, prepares, or scraps damaged or hold inventory as directed
- Maintains cleanliness and organization of partial racks and warehouse storage areas
- Team Support and Communication:
- Supports the daily direction and training of warehouse associates, including onboarding and ongoing initiatives
- Provides guidance in the absence of the supervisor and aid hourly associates with scanning and inventory procedures
- Maintains open communication with the supervisor regarding discrepancies, hold materials, and operational issues
- Documentation and Data Entry:
- Accurately completes all required paperwork and electronic records for inventory, shipments, and warehouse activities
- Enters data into warehouse management systems (WMS) and generate necessary reports, pallet tags, and bills of lading
- Compliance and Safety:
- Adheres to company policies, Good Manufacturing Practices (GMP), and all applicable regulatory requirements (OSHA, FDA, TTB, etc.)
- Follows all safety protocols and use required personal protective equipment (PPE)
- Supports sanitation, pest control, and safety initiatives as directed
Minimum Qualifications
- High school diploma or GED required
- Warehouse experience preferred; forklift experience a plus
- Ability to operate warehouse equipment and use handheld scanners
- Experience using MS Office Suite
- Able to work flexible hours, including weekends and overtime
- Forklift certification is preferred (or ability to obtain)
