About the Department
GENERAL DEFINITION OF WORK:
Under immediate supervision, perform a variety of manual tasks around the vehicle repair shop and parts room to help maintain city vehicles and inventory.
Position Duties
ESSENTIAL JOB FUNCTIONS
- Administers the City’s Preventive Maintenance Program including processing and updating the Fleet Management PM’s; tracking problems and ensuring compliance.
- Manage procurement processes for inventory, fuel, parts ordering, vehicle wash program, and GPS monitoring.
- Coordinates the Vehicle Safety Recall Program to ensure that all vendor recalls are processed according to specifications.
- Administers the vehicle warranty program: ensures that all warranty claims are filed and verifies the accuracy of all vehicle/equipment warranty information within the Fleet management automated system.
- Coordinates the City’s bodywork program including determination of appropriate vendors for specific body repairs; filing appropriate paperwork with Risk Management for insurance claims; ensuring that repairs are completed according to City standards and preparation of related work orders and vendor purchase orders.
- Processes new vehicles and equipment; ensures that new vehicles/equipment meet City specifications; verifies that all the necessary paperwork is received from the vendor; prepares vehicles according to City requirements (asset number graphics, tags, insurance information, etc).
- Processes vehicles/equipment for disposal; coordinates vehicle/equipment sales with Fixed Assets; photographs vehicles for sales; removes City related information (tags, logos, asset numbers, etc.); and post vehicles to websites for sale.
- Checks in vehicles/equipment, which are being turned in for replacement or other disposition.
- Assists in the coordination of the Fleet Management loaner vehicles.
- Will maintain Fleet Services stockroom including researching availability, quality, and price of items. Counts inventory items quarterly and during year end closing.
- Will maintain fuel inventories and order fuel as necessary for bulk tanks.
- Ensures compliance with rules and regulations for underground fuel storage tanks and fuel dispensing systems. Maintain up-to-date MSDS information and right to know and hazardous material training.
- Produces monthly fuel issuing/billing and service maintenance billing reports and spreadsheets.
OTHER JOB FUNCTIONS:
- Participates in budget preparation with Fleet Manager and initiates funds transfers.
- Assists in payroll completion when Fleet Manager is absent.
- Prepares and completes work orders including input into fleet software, files documents in filing system and or computer.
- Performs related work as required.
Minimum Qualifications
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge of modern office practices and procedures utilized in a fleet management operation.
- Knowledge of Purchasing/Procurement procedures to buy parts, materials, and inventory replenishments.
- Knowledge of nomenclature and function of a wide variety of automotive equipment and parts.
- Knowledge of automotive repair/service facilities.
- Knowledge of and ability to use modern office equipment.
- Knowledge of and ability to use Microsoft/Google applications for spreadsheets, word documents, etc.
- Ability to operate an automated fleet management computer system.
- Ability to operate an interagency motor pool service.
- Ability to exercise tact and diplomacy when dealing with all levels of personnel.
- Ability to keep records and prepare reports.
Other Qualifications
MINIMUM ENTRANCE REQUIREMENTS
Graduation from high school or an equivalent recognized certification; three (3) years of experience in automotive parts inventory, service writing or parts purchasing; or any equivalent combination of related training and experience.
SPECIAL REQUIREMENT
Must possess a valid driver’s license.
