The Role
At Hays, we believe events aren’t just happenings — they’re moments that matter.  The Event Coordinator is based in our Houston office location.  This role is the heartbeat behind our calendar, ensuring everything we host runs with creativity, consistency, and excellence. This role blends event planning, community partnerships, and team leadership to create experiences that spark joy, build loyalty, and strengthen our purpose.

Events & Experiences
You’ll be the owner of our master event calendar and bring it to life through thoughtful planning and intentional execution.

  • Own and manage the event calendar from start to finish.
  • Plan and host business-building events.
  • Partner with marketing to drive traffic through promotional events a year.
  • Partner with the visual manager to create inspiring interactions during events.
  • Oversee event communications, priorities, and timelines to keep everything on track.
  • Manage graphic design requests, ad campaigns, and event marketing.
  • Lead cross-team coordination so events feel seamless, intentional, and on-brand.
  • Track results to measure success.
  • Manage the social media experience leading up to and during events.

Culture & Leadership

This role is about more than logistics — it’s about presence, hospitality, and leadership. You’ll guide our team and community through meaningful experiences.

  • Lead event staff, volunteers, and store teams during event execution.
  • Create clear event checklists, schedule, and run-of-show guides.
  • Teach the team to deliver standout hospitality and customer care.
  • Capture learnings to refine and elevate our events season after season.

Skills needed

  • Strong organizational and project management skills with the ability to juggle multiple events and priorities.
  • Clear, confident communicator who can write and speak with warmth and clarity.
  • Comfortable with marketing tools, social media platforms, and event promotion.
  • People-first mindset with proven experience in hospitality, customer service, or event leadership.
  • Ability to lead teams and volunteers with positivity and calm under pressure.
  • Flexible and resourceful — quick to problem-solve when things don’t go as planned.

Job Requirements

  • Work schedule is Monday-Friday to align with our event calendar.
  • 40 hours per week with shifting start times on event days.
  • Timeliness, professionalism, and a strong work ethic.
  • Enthusiastic and positive attitude.
  • Proven time management and prioritization 
  • Established social connections and network within Houston
