Overview:
Reporting to the UK People Partner, the People & Culture Advisor is a key contributor to delivering an exceptional employee experience across the UK, US, APAC, and works in close collaboration with the EMEA team. This role supports all stages of the employee lifecycle, from onboarding to offboarding, while championing a vibrant and inclusive Stella Community becoming the first port of call for employee’s queries and questions.
Operating in a dynamic, fast-paced environment, the Advisor drives employee engagement initiatives, supports employees on a day to day and provides critical administrative support to the People Partner team. Flexibility and collaboration are essential, as the role may also offer ad-hoc assistance to the broader People & Culture function, including occasional front-of-house support at Olaf Reception and Learning and Development.
This is a 6 month fixed term contract, based in our London HQ.
Your Mission:
Act as the first point of contact for People & Culture, offering accurate information and sound advice across the business, seeking advice where necessary.
Provide line managers with guidance, direction and advice on employment legislation and best practice, where appropriate.
Provide ER support to the People Partners: notetaking for more complex ER cases, and facilitating low-level ER cases.
Prepare contracts and develop robust and engaging induction plans for new starters.
Collate and prepare monthly payroll information, and action on Workday in a timely manner.
Support the People Partners with the employee life cycle experience, including but not limited to: efficient documentation and system processing, data analysis to provide insightful reporting (turnover, exit interviews, headcount, engagement) to inform people strategies, active involvement with a Stellar Start, HR Inductions and Learning and Development admin, annual engagement survey, plus ad hoc pulse surveys.
Liaise with counterparts globally to support where necessary.
Bi-annually lead on the end-to-end documentation/admin requirements for the Paris Fashion Shows (March + September).
Organise and facilitate interns/students completing work shadowing throughout the year.
Maintain accurate and up-to-date employee data in Workday, our HRIS system.
Proactively, manage right to work verification and visa application processes.
Collate updates and data each week to prepare and send People requests for authorisation on a weekly basis.
Conduct regular audits of employee files (both on Sharepoint and Workday) to ensure compliance and accuracy.
Proactively review HR processes and recommend improvements to enhance efficiency and scalability.
Ensure all documentation is updated to reflect current employment laws and compliance requirements.
Take an active role in People & Culture projects, determined by the Head of People and/or People Partners.
Collaborate with the wider People & Culture team to provide support on a variety of initiatives, as and when required.
Provide support / cover for the Olaf Reception team as and when required.
Your Talent:
Previous experience within a HR Admin/Coordinator role is essential
Qualified by experience and/or has Level 3 CIPD is desirable.
A strong interest in HR, employee engagement and wellbeing is essential. Ability to navigate and manage situations with a wide variety of stakeholders.
Experience in creating strong collaborations with other centres of excellence.
Proven track record of working well with a diverse range of teams, demonstrating the ability to be adaptive to a wide range of support requirements.
Exceptional attention to detail and a commitment to accuracy.
Excellent written and verbal communication skills.
A proactive and highly organised approach to managing your workload.
Ability to thrive in a fast-paced and dynamic environment.
Fluency in English is essential. Proficiency in Italian, French or Spanish is desired but not essential.
