Supervisor Title: Chief Loan Operations Officer/Executive Assistant
Reporting Relationships: Loan Officers, Executive Loan Assistant, Loan Assistant, Loan Operations Officer/Assistant
Type of Position: Full time; Hours 8:00 AM -5:00 PM M-F, some travel and weekends may be required
General Summary
The Loan Admin/Processor is responsible for preparing loan documentation for all types of loans, booking loans on the system, and documentation follow-up. They will work closely with Loan Department staff to ensure information is accurate to process the correct loan documents. They will work closely with Loan Officers to make sure ticklers are up to date. This position will have customer service responsibilities such as answering phones, greeting customers, and answering general loan questions.
Essential Duties and Responsibilities:
- Process & prepare loan documentation for loan closings, (work with Loan Officers, Executive Loan Assistant, or Loan Assistant to prepare loan documentation, review supporting loan documentation, and communicate with Executive Loan Assistant, Loan Assistant, and Loan Officers to ensure all information is correct to prepare loan documentation). This may include working with closing companies to insure all information needed for closing is received.
- Prepare signed loan documents for processing (send loan documentation to customers via Pro-Sign and verify all documentation needed is signed before loan is booked and funded).
- Book loan on SPARAK, fund loan proceeds, and collect loan fees and pay out fees associated with the loan
- Verify all documentation pertaining to that loan has been saved in ECM
- File Maintenance
- File UCC’s on the applicable Secretary of State website, maintain UCC continuations/amendments/terminations and order lien searches
- Order flood determinations
- Work with loan officer to keep ticklers current for insurance, UCC’s, titles, etc.
- Process Business Manager Transactions (if needed)
- Prepare Notice of Actions (if needed)
- Prepare real estate mortgage satisfactions (if needed)
- Prepare written communication to customers for Loan Department
- Provide customer service to customers and prospective customers
- All additional duties or projects as assigned

Qualifications
Knowledge, Skills and Abilities Required:
The Loan Admin Processor will be required to navigate the SPARAK system and our loan documentation software. They must be proficient in word processing and spreadsheet software. They must be detail oriented, organized, be able to multi-task, and take direction when necessary. Human relations, professional communication skills, and confidentiality are essential. Attendance and punctuality are essential.
