Job Title: Operations Assistant
Reports To: COO
Department: Screen Print
FLSA Status: Non-Exempt
Job Summary
Serve as the operational extension and time optimization partner for the COO. This role is designed to identify, capture, and execute opportunities that allow the COO to focus on strategic leadership while ensuring smooth operations across the operations teams. You will shadow and learn from the COO, gradually taking on responsibilities for investigations, project coordination, and operational support that currently take up executive bandwidth.
Essential Job Functions
- Operational Extension and Time Optimization Partner
- Observe and collaborate with the COO to understand their decision-making patterns and operational priorities.
- Learn and understand Lean concepts deriving from the Toyota Production System, 2-Second Lean, and Lean Made Simple.
- Identify delegation opportunities by recognizing tasks that can be systemized, documented, or managed independently.
- Proactively anticipate needs based on an understanding of business cycles, recurring challenges, and departmental patterns.
- Assist in managing executive calendar strategically, protecting time for high-value activities.
- Investigation & Problem-Solving Support
- Conduct systematic fact-gathering for operational issues, customer concerns, and improvement opportunities.
- Engage with departmental stakeholders across all teams to gather comprehensive information and understand challenges from various perspectives.
- Prepare investigation summaries with findings, impact analysis, and potential solutions.
- Project Management & Operational Excellence Support
- Assist in coordinating cross-departmental projects, including equipment installations, process improvements, and Lean initiatives.
- Track project milestones and escalate blockers that require executive intervention.
- Support all teams in Lean initiatives such as 3S’ing, making “2-second improvements,” and Kaizen projects.
- Assist with data collection for KPI’s, operational metrics, and performance analysis.
- Document and implement 12+ process improvements annually with measurable impact.
- Coordinate training sessions and ensure proper documentation of new procedures through GembaDocs.

- Champion Lean principles daily, model a continuous improvement mindset, and set the standard in your areas of ownership.

Note: Specific tasks and authority levels will be developed based on individual capabilities, business priorities, and demonstrated competence. This role is designed to evolve with both the employees’ skills and the company's operational needs.
Requirements
Qualifications:
- Required
- 2+ years of experience in operations or production environments
- Strong skills in Microsoft 365 suite, specifically Word and Excel
- Demonstrated problem-solving ability with a systematic, analytical approach.
- Strong communication skills, with the ability to collaborate across departments and levels of the organization.
- High sense of ownership, urgency, and follow-through
- Comfort in using metrics and visual tools to manage performance and drive improvement.
- Preferred
- Strong understanding of Lean principles
- Experience with ERPs, Production Management, or Scheduling systems
- Familiarity with basic maintenance programs and workplace safety standards
- Bachelor’s degree in operations, business, engineering, or related fields
