Position Specifications
Key Results Areas
- Review and route invoices through the appropriate approval channels.
- Ensure payment terms align with vendor agreements and proper general ledger (GL) coding is used for accurate expense reporting.
- Accurately enter invoices into the accounts payable system in a timely manner.
- Respond promptly to vendor inquiries and resolve discrepancies professionally.
- Reconcile vendor statements monthly and research any outstanding issues.
- Review invoices for internal notes, memos, and special instructions.
- Close the AP module at month-end by balancing and processing transactions.
- Process scheduled payments as well as off-cycle payments upon request.
- Reimburse employee business expenses promptly, ensuring all appropriate approvals are received.
- Maintain and improve recordkeeping systems for AP documentation.
- Provide supporting documentation for asset and liability invoices to the general ledger accountant during month-end close.
- Forward all contract-related advance payments to the royalty accountant and document payment numbers to prevent duplicate payments.
- Assist in coordinating check, ACH, and wire transfers with the cash management team to support accurate cash flow reporting.
- Process payments received for accounts receivable deposits and maintain control balances.
- Perform other duties as assigned.
Education & Experience
- Associate degree in Accounting or equivalent coursework required.
- Minimum of 2 years of experience in accounts payable or a related accounting function.
Skills & Abilities
- Strong understanding of accounts payable principles and general office practices.
- Familiarity with general ledger accounts (assets, liabilities, expenses, and income).
- High level of accuracy and attention to detail when entering numerical data.
- Effective communication and problem-solving skills.
- Ability to manage time effectively and meet deadlines in a fast-paced environment.
