SUMMARY

The Airport Project Coordinator is a member of the Business and Revenue Project Management Office (PMO) which is responsible for the planning, coordination, administration, execution and closeout of projects that either support the growth of key business units at Charlotte Douglas International Airport, or have significant impacts to those lines of business. This role is a supportive role within the PMO and will partner with the B&R Project Managers to execute projects from intake to closeout, focusing on internal coordination, stakeholder engagement, project documentation, schedule tracking, and construction impact communications. Projects assigned may include new or renovated concessions, tenant spaces, advertising programs, construction logistics, new software solution implementations, process and procedure implementation, etc. The role requires a high level of collaboration and communication with internal departments, external consultants, contractors, and airport business partners.

Major Duties and Responsibilities:

  • Supports Business & Revenue project managers by coordinating project activities and facilitating timely execution.

  • Manages master schedules, monitors progress, and updates timelines to reflect current project milestones.

  • Coordinates and documents internal and external meetings including agendas, notes, action tracking, and follow-ups.

  • Assists with project intake and closeout documentation, ensuring compliance with reporting standards and archiving.

  • Disseminates information regarding construction and operational impacts to airport stakeholders and business partners.

  • Supports design and construction project phases by assisting with procurement, timelines, and stakeholder engagement.

  • Works closely with internal teams and third-party consultants.

  • Prepares and distributes project performance reports, schedules, presentations, and communication materials.

  • Utilizes project management tools to maintain accurate documentation and performance tracking.

  • Responds to internal stakeholder inquiries and supports project-related communication across the organization.

  • Maintain a general understanding of all the key business units within aviation to help facilitate future projects. 

  • Other duties as assigned

General Information:

  • Standard office hours apply, however schedule subject to irregular hours, overtime an emergency call backs to work.

  • Successful candidate mus hold valid drivers license in state of residency and ability to obtain and maintain a City Driving Permit

  • Ability to pass a background check in advance of start date required. Certain convictions will disqualify individuals from unescorted access privileges and therefore exclude from employment.

Minimum Qualifications:

High school graduate or equivalent with seven (7) years' relevant experience, 2 year college degree with seven (5) years' relevant experience, or Bachelor's level degree with three (3) years' relevant experience

Knowledge, Skills and Abilities:

Working Conditions and Other Requirements:

Physical Requirements:

  • Essential and marginal functions may require maintaining a physical condition necessary for sitting, standing, or walking for periods of time

  • Light lifting and carrying; some crouching, stooping squatting reaching, pushing and pulling when performing tasks

  • Adequate vision, hearing and speech required

  • Positions in this class typically require: sitting, standing, grasping, stooping, squatting, kneeling, crouching reaching, pushing, talking, hearing, seeing, and repetitive motions.

Sensory Requirements:

  • Concentrated and attentive use of one or more senses (visual, audio and other sensory modalities) for proof reading, data entry, tabulating data, facilitating meetings

  • Ability to operate in an environment with frequent interruptions from people and noises, which in return could result in levels of stress, fatigue or strain

  • Comprehension of written information in work related documents

  • Ability to hear, understand and distinguish speech

CONDITIONS OF EMPLOYMENT

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.

Background checks must be in compliance with all federal and state statutes, such as the Fair Credit Reporting Act (FCRA). The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidate’s written authorization before obtaining a criminal background report, motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.

Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
