POSITION SUMMARY:
This position is responsible for the management and supervision of the Before and After Care section of the Registration Division. This section manages the registration process for the Before and After Care (RLC) programs, including billing, waitlists, withdrawals, refunds, and financial assistance.

STARTING SALARY HIRING RANGE:
$23.87 - $26.11

CLASS DESCRIPTION:
Performs advanced technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior.   Work typically involves administrative support work, technical tasks, and secretarial work assisting legal staff or an executive level government official.  May apply bookkeeping, accounting and data processing principles to accounting and financial record keeping and reporting systems at the advanced technical level.  Work at this level may also include independent responsibility for a significant administrative or clerical process. 




Position Duties

Includes the following. Other duties may be assigned.

  • Works and cooperates with co-workers and supervisors at all levels.
  • Learns and performs all essential job functions accurately.
  • Assist in all areas of registration including supervision of staff work assignments and assistance with special projects.
  • Process registrations via telephone, walk-in, fax, and mail.
  • Complete and proof data entry of seasonal programs.
  • Serves as back-up to Registration Supervisor for responsibilities that include the reconciliation and verification of daily deposits and evening closing.
  • Approve leave and review timecards.
  • Manage the registration process for the Before and After Care (RLC) to include billing, collection of past due payments, automatic payment set up, waitlists, withdrawals and refunds.
  • Complete the monthly past due process for all childcare customers and coordinating with the RLC managers.
  • Attend monthly Recreational License Childcare monthly meetings and work directly with the managers to make sure the monthly process is smooth for customers.
  • Research payment issues for RLC customers. 
  • Serve as a resource person for any childcare policy and concerns staff may have with customers.
  • Supervise 4 registration staff and 2 contingent staff to include those handling the RLC enrollment process and the Finance Assistance application process and State scholarships.
  • Complete reports for RLC waiting list and enrollment numbers.
  • Research payment and approve with signature the FSA (Flexible Spending Account) for summer camp and childcare customers.
  • Facilitate monthly Customer Services Staff Meetings.
  • Provide customer services to both the internal and external customers. 
  • Responsible for identifying and applying good sustainability practices into all aspects of Department operations.
  • This position may be deemed as essential, in an emergency, at the discretion of the Director.

SUPERVISORY RESPONSIBILITIES:
Directly supervises four (4) full time and two (2) contingent employees in the Department of Recreation & Parks.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Minimum Qualifications

Associates degree and two (2) years of experience, or equivalent combination of education and experience.

PREFERRED EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES:

  • Proficiency in public relations, accounting procedures, and data entry.
  • Competent knowledge of Windows, Excel, Word, and ActiveNet.
