POSITION TITLE: | Dental Practice Manager |
POSITION SUMMARY: | The Dental Practice Manager is primarily responsible for the day-to-day administrative functions of the dental department, to include clinical operations, facilities, finance, integration, and program quality oversite. |

PRIMARY RESPONSIBILITIES:
- Collaborates closely with the Dental Director, coordinating weekly meetings to ensure efficient operations and seamless departmental functionality.
- Maintain oversite of dental operations to ensure efficient and effective delivery of oral health care services. Operational oversite include the development, implementation, oversite, and improvement of dental policy, process and standard operation procedures. It also includes monitoring provider panels and oversite of capacity and access to care.
- Standard performance oversight of Dental Assistants and Dental Hygienists through annual performance appraisals, 90-day reviews, support and recognition for high quality performance, as well as disciplinary action and corrective action plans for poor performance.
- Approves payroll through ADP system, and is responsible for minimizing overtime and approval of PTO and manage call-outs to ensure proper coverage
- Responsible for developing agenda as well as time management and record keeping during the dental departmental and operation meetings.
- Coordinates department trainings as needed.
- Functions as Quality Assurance and monitor all quality measures monthly to identify areas for improvement and strategies for success.
- Collaborates with the Dental Director and Chief Clinical Officer and other appropriate department directors to develop integrative models between primary care, Behavioral Health, and partner organizations. Serves as the dental representation on all Integration Committees.
- Maintain oversite of department financials and reasons for any monthly variances to budget. In collaboration with the Dental Director, review and communicate individual dental provider productivity and progress towards goals.
- Communication and/or coordination with outsourced billing services to ensure maximum revenue integrity. Responsible for review and approval for refunds on patient credit balances as well as review and approval of patient financial arrangements on anticipated and/or overdue payment amounts owed.
- Assists in developing the annual dental budget in collaboration with Dental Director and finance department. May be delegated the creation of the dental budget spreadsheets and implementation of any operational process or procedure changes needed to achieve productivity goals and/or financial targets.
- Serve as the point of contact for dental patient grievance process. This includes collection of the patient experience through direct communication with patient, documentation of grievance, patient letters, grievance investigation (in collaboration with supervisors and department directors), facilitation of resolution, and analysis of grievance trends as they relate to Quality, Risk, Performance, and Patient Experience. Escalates to Dental Director or Chief Clinical Officer when appropriate.
- Coordinates dental outreach programs.
- Submit work orders for necessary facility related repairs and/or improvements.
- Other related duties as assigned by the Dental Director and Chief Clinical Officer.
- Collaborates with the Director of Patient Services and/or Manager of Patient Services to ensure accurate scheduling for all dental providers.
- Supervises and coordinates CHCFC’s clinical infection control and safety.
- Responsible for ordering all dental department supplies and coordinating all vendor services
REQUIRED SKILLS, EDUCATION & EXPERIENCE:
- Associate’s degree required, Bachelors preferred or significant clinical and operational experience in dental clinics
- Two years of post-secondary education from an accredited dental hygiene program required. Must be licensed to practice dental hygiene in Massachusetts. Local Anesthesia permit required.
- One to three year dental hygiene experience preferred. Public health or Federally Qualified Health Center experience preferred.
- Strong commitment to CHCFC Mission. Strong interpersonal and communication skills.
- Ability to work with a diverse population and sensitivity to low-income populations.
- Resource Management Skills: ability to control one’s own time and the time of direct reports, and ensure that people have needed tools to accomplish goals

- Ability to Plan, Prioritize, and Set Goals: This includes managing multiple projects, determining project urgency in a meaningful and practical way, and using goals to guide actions and create detailed action plans, and organize and schedule people and tasks.
- Experience using Electronic Dental Records (EDR).
- Three (3) or more years of experience preferably with at least one year in an ambulatory setting.
- Minimum of 2-3 years in a management role preferably in an ambulatory setting.
- Bilingual/bicultural preferred.

WORKING CONDITIONS:
While performing the required duties of this job, the employee is exposed to weather conditions prevalent when traveling between Health Center locations where medical care is provided. This position performs tasks that involve exposure to blood, body fluids or tissues.
