Position Duties
Administrative Support
- Provide comprehensive administrative assistance across all HR divisions, including scheduling, document preparation, and communication coordination
- Coordinate calendars, meetings, and travel arrangements for HR staff to ensure smooth operations
- Draft, edit, and distribute departmental communications, reports, and presentations while maintaining organized records and filing systems
Budgeting & Procurement
- Manage budget tracking, purchasing, and procurement processes to ensure efficient resource allocation and compliance
- Track expenditures, assist with forecasting, and prepare budget reports for HR leadership
- Facilitate purchasing by preparing purchase orders and contracts, processing invoices, and coordinating with vendors
Project Support
- Assist in the planning and execution of HR programs by managing logistics and administrative tasks
- Organize program materials, surveys, and evaluations while ensuring accurate documentation and follow-up
- Track project timelines and deliverables, providing regular status updates to HR leadership
Timesheet & Compliance
- Collect and review employee timesheets, track attendance, and provide support with timekeeping software
- Maintain leave records and assist HR employees with timesheet inquiries to ensure alignment with payroll schedules
- Monitor departmental activities for compliance with county policies and labor laws, reporting discrepancies as needed
Minimum Qualifications
Management Preference: Experience working in a high volume, quick paced environment. Some knowledge of Human Resources practices is preferable.
Other Qualifications
Knowledge of office practices and procedures
Knowledge of office software and applications used in the administrative environment
Knowledge of accounting methodologies, accounts payable and receivable and payroll procedures in County government operations
Knowledge of the County’s personnel policies and procedures
Knowledge of a wide variety of administrative policies, procedures, and laws in support of duties and tasks
Ability to set work priorities and organize duties and tasks
Ability to gather and give information on departmental programs based on inquiries
Ability to analyze processes, procedures, and policies and formulate recommendations
Ability to communicate effectively
Ability to be tactful and courteous
Ability to formulate recommendations in precedent setting situations
Ability to formulate, monitor, and present budget recommendations
Ability to establish and maintain effective working relationships
