About the Department
The primary purpose of this position is to provide exceptional customer service with a positive attitude while performing a number of clerical duties. This includes medical office tasks for health clinics. Accurately prepares encounters as needed for clinics as well as scanning in medical records per state policies and procedures. Complete Release of Information requests and prepare Child Health appointment paperwork. Answering the phone and make appointments for patients needing assistance is shared with other processing assistants, but some tasks may require the ability to work independently. A few of the responsibilities that come with this position are retrieval and delivery of mail, and keeping up with ensuring maintenance of county vehicles as needed.
Position Duties
- Answer multi-line telephone and direct calls appropriately
- Schedule patient appointments via telephone and/or in-person interactions
- Welcome and greet patients and visitors and provide direction/way-finding assistance
- Work with paper and electronic medical records following HIPAA guidelines and agency confidentiality and medical records policy/procedures
- Data entry of reportable disease/vaccination information as directed
- Prepare paperwork for a variety of clinics
- Flexibility to provide coverage of other clerical areas due to staff shortages, excessive workloads and agency needs. The supervisor or health director will determine these needs
- Perform mail duties as needed
- Ensure maintenance of county cars as needed
- Check in -register patients for Health clinic appointments when needed
- Collect patient fees when necessary

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS: Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least one year of clerical experience; or an equivalent combination of training and experience.
NECESSARY SPECIAL QUALIFICATIONS: N.C. driver's license and have access to a personal vehicle.
PREFERRED QUALIFICATIONS:
- At least one year of experience working in a medical office setting
- Fluent in English and Spanish, both oral and in writing
- General knowledge of a variety of office equipment such as but not limited to: computer, office phone, printer/copier, fax machine
- Proficiency and accuracy of data entry

General knowledge of office or work unit procedures, methods and practices. General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; ability to proofread. General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment. Ability to learn, follow and apply a variety of guidelines. Ability to use a variety of office equipment. Ability to work with people with courtesy and tact. Ability to screen communications based on predetermined guidelines to independently respond or route inquiries. Ability to record and compile information based on general guidelines. Ability to gather and give information and instructions regarding the work process or procedures. Ability to balance and reconcile figures. May require ability to coordinate work of other support staff, student workers or volunteers. Ability to learn to use specialized office equipment.
