The Regional Manager is a dedicated team member committed to delivering stellar customer service rooted in servant leadership, practice analysis, and training/mentoring to their designated Parkview offices in order to facilitate peak performance and excellence by our teams and doctors.
FRONT OFFICE KNOWLEDGE:
- Know and be able to proficiently perform and train all Office Manager and Business Assistant duties proficiently based on your prior experience
- Acquire a better than working knowledge of Dentrix Ascend (Practice Management System)
- Ability to communicate a thorough knowledge and vernacular of dentistry
- Ability to demonstrate exceptional human relations skills
- Acquire a working knowledge of end-of-day and end-of-month processes
- Acquire a working knowledge of all monthly A/R reports
- Prepares recommendations to increase efficiency and lower operating costs
- Monitors regional marketing initiatives and reports effectiveness to Marketing Specialist accordingly
- Supports and coordinates with Compliance Specialist on operational and clinical standards, safeguards, and procedures to comply with OSHA and ADA standards.
- Supports and coordinates with Human Resources and Compliance Specialist on established and emerging company policies, procedures and standards that align with the code of ethics in terms of safekeeping company funds and property, HiPAA standards, grievance policies and the confidentiality of personnel issues.
REPORTING: Create action plans on a daily and monthly basis by analyzing various reporting mechanisms
- Utilize DTR tracking form on a daily basis and P&L’s/Trends/Budgets/etc. on a monthly basis
- Identify areas of concern to help structure team focus with action plans for the office
- Communicate with VP of Operations to combine efforts with goals/budgets/thrive action plans
- Call office to offer support, praise and feedback concerning action plans
- Review feedback from weekly team meetings for assigned offices to ensure proper direction
- Prepare reports for the Executive Team on the performance of dental offices
- Coordinate with Human Resources for record keeping
SCHEDULING: Coach doctor/team members to ensure Parkview’s scheduling guidelines are implemented
- Perform schedule audits to determine effective scheduling and missed opportunities
- Train offices to meet production goals through efficient scheduling
- Ensure offices are using ASAP list, Treatment Plan Manager Report, and broken appointment lists to fill schedule
- Monitor average daily scheduled production each day to evaluate attainment of its goals
- Ensure that all patients are being reappointed and then confirmed 2 weeks and 2 days in advance
- Ensure proper insurance linking
PRODUCTION GOAL ATTAINMENT: Help doctor/team members to maintain focus on meeting production goals
- Monitor average daily production vs. daily goals to evaluate status
- Coach on utilization of PARKVIEW policies and patient communication skills
- Train offices to meet production goals through efficient scheduling
- Ensure offices are converting same day treatment and further treatment as needed
- Identify patient flow concerns and coach as necessary to aid in efficiencies
COLLECTIONS: Identify collection issues and help hold team members accountable
- Verify that accounts receivable (A/R) timelines are being followed
- Review A/R Analysis report and follow up with the A/R administrator monthly
- Coach doctors on how to hold their team members accountable for following the A/R timeline
- Investigate that appropriate approval is being obtained for adjustments
- Guarantee that firm financial arrangements are being made and documented and subsequent collections are made
SERVANT LEADERSHIP: Create a customer service relationship with the assigned offices and team members
- Travel to offices regularly to oversee office operations
- Dedicate to the success of the individuals and the dental practices they serve
- Provide support for team members with daily tasks and miscellaneous requests
- Build rapport and assist in team building to facilitate team communication
- Assist Office Managers with team member evaluations
- Hold team members accountable for meeting expectations for daily tasks
- Assist in team member recruitment
COMMUNICATION: Provide a help desk relationship with the assigned offices and team members
- Facilitates a high level of communication between the offices and HQ support personnel, insuring that team members and doctors receive information necessary in a timely manner
- Direct incoming calls for other departments or assist them when applicable
- Trouble shoot small issues to avoid IT bottlenecking with minor requests
- Aid with CDT code questions and fee schedules
- Serve as a liaison between home office departments and team members in the field
PATIENT RELATIONS: Facilitate communication with patients concerning issues with office or treatment
- Receive incoming calls from displeased patients from the assigned offices
- Listen to each patient’s needs and create a win-win for both parties
- Communicate with doctor and necessary management to solidify action plan
- Demonstrate good written and verbal communication skills
- Follow through with necessary documentation and reporting
SPECIAL PROJECTS: Responsible for completion of special projects as assigned
- Assist with transition of new or acquired practices
- Supports facility initiative in regards to facility upgrades, remodels, renovations, expansions for acquisition and de novo practices
- Fill in for office managers when absent
- Participate and present in training as needed
- Responsible for researching various focuses assigned by the VP of Operations
- Contribute to completion of ongoing projects (i.e. training events, symposiums, mystery calls, etc.)
- Any other tasks that are assigned by management
Requirements
Required Skills/Abilities:
- A minimum of a two-year Business Degree
- Five years’ experience in dental healthcare management
- The ability to understand the goals of the practice and work to obtain these goals both independently and with the direction of the Executive Team
- The ability to:
- To make continuous efforts to stay current of any changes in the dental healthcare field that may impact the practice including regulation changes as well as new technology that may enhance practice operations
- To relate well to patients, physicians, team members, and other professionals
- To be dedicated to the vision and goals of the practice
- To remain calm and exhibit tact in stressful and/or delicate situations
- To handle confidential issues with discretion
- To read, write, speak and understand English
