General Summary:
The Facilities & Maintenance Specialist supports Network initiatives by overseeing facilities custodial services and providing essential support for maintenance operations. Collaborates with management in evaluating site needs and developing custodial cleaning schedules to ensure efficient and effective service delivery. Conducts regular inspections of the facility to identify unusual or recurring maintenance needs and recommends appropriate solutions. Oversees fleet maintenance and use of Network vehicles to ensure optimal service at all times. Manages and audits vehicle documentation to ensure they are all current and in compliance. Directs the scheduling and coordination of vehicle cleaning, maintenance, and repairs, proactively addressing routine wear and tear and ensuring timely service through effective vendor management and adherence to recommended service intervals. NJ Sharing Network operates 24/7/365. This position will participate in a 24-hour on-call rotation to ensure a safe and efficient operation. Responsible for individual compliance with all Network programs and policies.
Duties and Responsibilities:
Essential Functions:
Facilities Services
- Manages the contracted facilities cleaning services to ensure a clean and safe environment for Network staff, volunteers, and visitors.
- Collaborates with management in evaluating site needs and developing custodial cleaning schedules to ensure efficient and effective service delivery.
- Oversees checklists for routine and deep cleaning schedules to ensure compliance with Network standards and instructions.
- Conducts regular inspections of the facility to identify unusual or recurring maintenance needs and recommends appropriate solutions. Responds to inquiries about building cleanliness and ensures timely resolution of any concerns. Meets regularly with the cleaning service team lead to evaluate work quality and recommend corrective actions when standards are not met.
- Oversee garden maintenance, fountain lighting and landscape services. Ensures accurate records of repairs and maintenance work.
- Assists in overseeing construction projects, coordinating with vendors, and managing maintenance programs for equipment, machinery, and other systems. Monitors equipment repairs to ensure timely and thorough completion.
- Ensures the efficiency of building resources, including but not limited to monitoring the temperature throughout the building via the Building Management System (BMS).
- Maintains aesthetics and maintenance of all entranceways.
- Participates in 24-hour on call rotation to ensure a safe and efficient operation.
- Oversees and coordinates routine inspections, maintenance and repair projects to building fixtures and structures, including plumbing, electrical and general repairs. Provides direction to vendors and ensures adherence to safety and quality standards.
- Oversees the maintenance and inventory of network tools and equipment, ensuring they are in proper working condition.
- Assists with the set-up and tear-down of conference rooms for meetings. Provides support for the set-up and clean-up of on-site and off-site special events as needed.
- Provides back up and support to Mailroom/Facilities Support Coordinator.
Safety
- Identifies and reports safety hazards and repairs needed to appropriate personnel to maintain a safe facility. Communicates relevant findings to Safety Officer.
- Ensures compliance with all safety regulations and ensures that procedures are followed during the execution of maintenance tasks.
Fleet Management
- Oversees the management and maintenance of company vehicles to ensure consistent operational readiness and compliance with organizational standards .
- Develops and implements vehicle rotation schedules, usage protocols, and inspection routines to support fleet efficiency.
- Manages and audits vehicle documentation including insurance and registration, toll passes and gas ensuring all are current and in compliance.
- Directs the scheduling and coordination of vehicle cleaning, maintenance, and repairs, proactively addressing routine wear and tear and ensuring timely service through effective vendor management and adherence to recommended service intervals.
- Manages the purchases and maintains vehicle equipment as needed to ensure operational efficiency.
- Administers and monitors the vehicle key access system and ensures secure usage, accurate tracking, and reporting for compliance and accountability.
Education and Experience:
- High School Diploma or equivalent required.
- A minimum of five years of prior related experience is required.
- Experience handling maintenance and repairs is required.
Knowledge, Skills, & Abilities:
- Ability to read and interpret documents such as safety rules, operating and Safety Data Sheet (SDS), maintenance instructions, and procedure manuals.
- Must be able to regularly lift and carry and/or move 50-100 lbs.
- Must have and maintain a valid driver’s license and be able to drive company vehicles at all hours under all conditions.
Pay Range:
Salary: $60,615.00 - $97,000.00
This salary range is based on our market pay structures. Individual compensation is determined by various factors, including but not limited to business needs, local market conditions, internal equity, and candidate qualifications such as skills, licenses, certifications, education, and experience.
