SUMMARY
The Vice President, Finance & Administration is a key member of the executive leadership team, responsible for overseeing the museum�s financial strategy, operations, and long-term fiscal sustainability. Reporting directly to the President & CEO, the Vice President, Finance & Administration leads all financial functions, including strategic planning, financial reporting, budgeting, compliance, investments, and risk management. The Vice President, Finance & Administration works collaboratively across the organization to ensure sound fiscal stewardship and alignment with the museum�s mission and strategic goals. The Vice President, Finance & Administration also provides strategic leadership for the Finance, Sales, People & Culture, and Retail Departments. In addition, this role serves as a strategic advisor to the CEO and Board of Trustees, providing financial analysis, scenario planning, and guidance to support decision-making.
ESSENTIAL DUTIES & RESPONSIBILITIES

Lead long-term financial planning and forecasting to support strategic initiatives.

Collaborate with executive leadership to align budgets and resource allocation with institutional priorities.

Advise the CEO and Board of Trustees on financial planning, sustainability, and performance metrics.

Serve as a key partner to the Board, acting as staff liaison to committees related to finance, audit, and investments as they are established, and support the governance work of other committees as appropriate.

Direct the preparation and management of annual budgets in coordination with department heads.

Monitor and analyze financial performance against plans, providing regular updates and actionable insights to leadership.

Oversee evaluation and enhancement of financial systems and reporting tools to ensure accuracy, efficiency, and integration across departments.

Ensure accurate and timely financial reporting in accordance with GAAP and nonprofit accounting standards.

Oversee audits, tax filings, grant compliance, and other regulatory reporting.

Oversee treasury, cash flow, banking and investment management, including reserves, endowments, and capital project funding.

Identify financial risks and develop policies and procedures to mitigate them.

Support contract review and negotiation to ensure alignment with the organizations� obligations.

Lead, mentor, and develop Finance, Sales, People & Culture, and Retail teams.

Promote a culture of accountability, transparency, and continuous improvement within the department.

Present financial results and forecasts to the Board of Trustees and support strategic discussions and decisions with financial modeling and analysis.
JOB QUALIFICATIONS/EDUCATION

Bachelor�s degree in accounting, finance, business administration, or related field is required; a master�s degree and/or CPA designation is strongly preferred.

10+ years of progressively responsible financial leadership experience, including nonprofit or museum experience preferred.

Experience managing federal, state, and private grant funding.

CPA and/or public accounting background a plus.
KNOWLEDGE, SKILLS AND ABILITIES

Deep understanding of GAAP, FASB, nonprofit compliance, and financial controls.

Proven track record of strategic financial leadership, especially in mission-driven organizations.

Strong communication, leadership, and team development skills.

Familiarity with financial and accounting reporting systems and tools; experience with MIP/Abila, and Paylocity preferred.
WORKING ENVIRONMENT AND PHYSICAL DEMANDS
Work is typically performed in a standard office environment with minimal physical demands. Extended or irregular hours may be required to meet deadlines or attend evening meetings and events. Reasonable accommodations will be provided as needed.
