About the Role:
The Receptionist at the Clubhouse plays a pivotal role in creating a welcoming and professional first impression for all members and guests. This position is responsible for managing phone systems efficiently, ensuring that all inquiries and communications are handled promptly and courteously. The Receptionist will coordinate general administrative tasks, support daily office operations, and maintain organized records to facilitate smooth business functions. By greeting clients warmly and managing phone lines, the Receptionist ensures seamless communication between members, guests and staff, contributing to an exceptional customer experience. Ultimately, this role supports the overall operational success of the Clubhouse by providing reliable, friendly, and professional front-desk services.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience handling phone systems in a receptionist or administrative role.
- Strong communication and interpersonal skills.
- Proficiency with office equipment such as copy machines, computers, scanners and phone systems.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
Preferred Qualifications:
- Experience working in the hospitality, tourism, or recreation industry.
- Familiarity with general office management tools.
- Additional training or certification in customer service or office administration.
Responsibilities:
- Answer and manage phone lines using proper phone etiquette to direct calls appropriately.
- Greet and welcome members and guests in a professional and friendly manner upon arrival.
- Perform general administrative duties including data entry, filing, scanning, copying, and managing correspondence.
- Coordinate and maintain the reception area to ensure it is tidy and presentable at all times.
- Assist with scheduling appointments and managing calendars as needed.
- Handle inquiries and provide accurate information about the clubhouse services and facilities.
- Support other office staff with general office/administrative duties to ensure smooth daily operations.
- Manage office supply inventory.
- Manage electronic communication signage and messaging throughout the Club.

The required skills such as managing phone systems and demonstrating excellent phone etiquette are essential for handling high volumes of incoming calls and ensuring clear communication. Receptionist duties and general office tasks require strong organizational skills and attention to detail to maintain smooth operations and accurate record-keeping. Schedule & Availability:
We are seeking a reliable team member with consistent availability for evening and weekend day and evening shifts.
Weekday Availability:
Tuesday to Friday: 4:00 PM – 8:00 PM
Weekend Availability:
Saturday & Sunday: Shifts between 9:00 AM – 7:00 PM (including evening coverage)
Note: Candidates must be available to work at least one weekday evening and both weekend days, including weekend evenings as scheduled.
