Job Description
Purpose:
The Human Resources Associate is responsible for providing assistance to all employees (including staff, faculty and student employees) of Knox College. This position handles walk-in requests and serves as the initial point of contact for all employees on general human resources issues. The Human Resources Associate will be responsible for assisting other senior staff in human resources with benefits, leaves, and other human resource related functions.
Summary of the position:
Manage HR Department email account and college-wide personnel related correspondence, serve as first point of contact for employees and others who call or walk into the department, create documents and worksheets to be used throughout the department to track processes, communicate, etc., and provide overall support to all employees of the HR Department.
Key Responsibilities:
- Maintain HR Department email, databases, Shared Drives and any other tracking software or documents.
- Prepare for HR Department meetings by creating agendas and preparing minutes.
- Provide support and communication to applicants (both employees and student workers) who have been approved to be hired. As needed, also provide support to the Sr. HR Coordinator and HR Generalist during the recruitment process.
- Process new hire onboarding documents and communication including I9 documentation, IT requests, scheduling start dates, new hire orientation, etc.
- Plan and administer New Hire Orientation including, but not limited to, onboarding, communication, scheduling, and following procedures.
- Track and process benefit enrollments including retirement, health and COBRA and assist with Open Enrollment annually.
- Provide support to the HR Generalist with regard to student employment.
- With the assistance of the student worker, provide employment verification as needed.
- Department and employee expense reimbursement tracking and submission.
- Submit and track HR supply orders.
- Work with the AVP of HR to coordinate special Employee Recognition Programs/Initiatives.
- Complete Federal Student Loan Forgiveness forms as well as any other forms that require personnel related information as submitted by our employees.
- Manage and track union attendance points system.
- All other HR department and job-related responsibilities as needed.

Knowledge, Skills, and Abilities:
- 2-5 years HR job-related experience required; Associate degree preferred.
- Proven ability to create documents, spreadsheets and/or databases used to track processes and procedures.
- Proven skills in communication and organization.
- General knowledge of employee benefits and HR-related policies, procedures, and handbooks; proven experience with these topics a plus.
Minimum Education Required:
- High School Diploma required, Associate degree preferred.
Minimum Experience Required:
- 2-5 years HR job-related experience required.
Minimum Licenses/Certifications Required:
- HR related certification a plus
