Position Duties

You will play a critical role in ensuring the quality of customer service, employee engagement, and will be an important participant on the management team. It's fast-paced, providing both support to line staff and strategic planning with management. Recording staff are cross-trained to provide a high-volume mixture of customer service, document research, document recording, assessment and collection of Real Estate Excise tax, and the index and verification of all recorded documents. Recording staff review documents, assess fees and tax; apply a complex array of federal, state, and county regulations; record documents; certify documents; and accept payment.

We conduct secure and trustworthy elections, we maintain the integrity and accessibility of public records, and we provide reliable licensing and passport services.­­­ We also provide administrative direction and support for the Pierce County Opioid Abatement Council. We are a team that promotes trust through positivity, change, innovation, and kindness.

  • Recording. The Recording Division receives, indexes, and records public documents such as deeds, maps, mortgage materials, easements, powers of attorney, liens, and military discharge papers. We process anywhere from 100,000 to 200,000 public documents each year, depending on market conditions. We collect excise tax payments on the sale of real property.
  • Licensing. The Licensing Division provides auto and boat title services such as tab renewals, trip permits, license plate replacement, and more. Want to get married in Pierce County? That’s us. Need a pet license in unincorporated Pierce County? That’s us, too. We manage licensing for certain businesses in unincorporated Pierce County, and we staff a full-time, full-service passport office.

How to be Successful in the Role: 

Your success will stem from your ability to serve as a strategic leader who is experienced in managing customer service-based community and staff, as well as your understanding of the importance of the department. Your skills will be focused on our diverse portfolio of services, such as balancing recording/excise tax transactions, scheduling staff to cover the workload, and meeting deadlines. You will build rapport with staff and work closely with your manager in the unit. You will also complete tasks efficiently in a busy environment, adapt quickly to different communication styles, and acquire a broad understanding of office policies and processes.

Your role is crucial to perpetuate a culture of teamwork and engagement. It is critical to provide support for your team, the unit, and the Auditor’s Office as a whole. Supervisors in the Auditor’s Office strive for cross-department exposure and collaboration on strategic goals. Core Daily Responsibilities: 

  • Supervise and coordinate activities of the Recording; Real Estate Excise Tax; Scanning; Passport; and Business, Marriage, Pet, and Vehicle/Vessel License sections as assigned.
  • Understand, interpret, and apply County Ordinance, Revised Code of Washington (RCWs) and Washington Administrative Code (WACs) as applicable to assigned area of supervision.
  • Ensure that the division runs smoothly and functions efficiently.
  • Monitor daily balancing of cash drawers; prepare daily and/or monthly reports and maintain contact with applicable County or State offices.
  • Provide technical assistance to subordinates as necessary.

Minimum Qualifications

  • Additional education or experience which clearly indicates the ability to perform the essential functions of this position may substitute on a year for year basis.
  • Four years or more of progressively responsible office experience.
  • Two years in a supervisory or lead position.
  • Extensive knowledge of real property documents.

Preferred Qualifications

  • Customer service experience.
