Optimus Healthcare is looking to add a Behavioral Health Front Office Supervisor to our BH team located at our Stamford, CT BH clinic.
The Front Office BH Supervisor will primarily be located at 1351Washington Blvd, Stamford and be willing to assist at other BH locations in Bridgeport as needed.
The Front Office Supervisor oversees the day-to-day operations of front desk staff at assigned sites and ensures consistent implementation of registration procedures, excellent customer service, and efficient patient flow. While this position provides daily supervision of Front Office Registrars, the Practice Manager retains overall supervision of the department. The Supervisor plays a key role in supporting compliance, training, and communication among team members to ensure consistent execution of front office responsibilities and alignment with Optimus Health Care standards.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Front Office Operations
• Serve as a working supervisor by assisting with all front office duties as needed, including patient registration, insurance verification, and pre-work documentation.
• Ensure accurate and timely completion of all front desk functions including co-pay collection, insurance verification and scanning.
• Monitor clinician’s schedules to ensure efficient patient flow.
• Address day-to-day operational issues and escalate larger concerns to the Practice Manager.
• Ensure daily workflows such as appointment reminders, recalls, and no-show follow-ups are completed.
• Promote a patient-centered culture by modeling respectful and professional communication at all times.
• Ensure front office operations meet HIPAA, Joint Commission, and organizational compliance standards.
• Uphold confidentiality, safety, and infection control protocols in all areas of responsibility.
Supervisory Responsibilities
• Provides daily supervisory oversight of Front Office Registrars, including task assignments, break coverage and schedule adjustments.
• Serve as the first point of contact for front office staff regarding procedural questions or workflow concerns.
• Troubleshoot and resolve patient complaints related to front desk operations; escalate issues to the Practice Manager when appropriate or beyond the scope of authority.
• Assist in recruitment, onboarding, and ongoing training of front office personnel.
• Monitor performance, provide coaching, and support staff development in collaboration with the Practice Manager.
• Conduct routine audits for registration accuracy, insurance verification, and cash reconciliation.
• Assist the Practice Manager in implementing quality improvement initiatives and front office projects.
• Facilitate regular team huddles and participate in staff meetings and committees as needed.
ADDITIONAL GENERAL REQUIREMENTS
Professional positive attitude, vision, understanding of customer service principles, intuitiveness, trustworthiness, and excellent interpersonal skills to successfully accomplish tasks necessary to meet high standards of ethical and social responsibility required by this position.
JOB QUALIFICATIONS/REQUIREMENTS:
EDUCATION: Associate degree or 5 years’ experience in a medical setting.
EXPERIENCE: At least five years’ experience, preferably in the health care setting.
LANGUAGE SKILLS: Bi-lingual in English/Spanish preferred
MATHEMATICAL SKILLS: Ability to use calculator
REASONING ABILITY: Critical thinking, analytical and problem-solving skills
