Under close supervision of the Recreation Coordinator, this position is responsible for performing basic office support activities for the recreation division and assists with officiating recreational games and events including explaining sports game rules and organizing teams.


As the Office Assistant, you will:

  • Perform a variety of clerical and receptionist duties to support various programs within the Recreation Division.
  • Welcome visitors in accordance with established office protocol.
  • Answer single or multi-line phone systems, direct calls appropriately, and record and distribute messages.
  • Handle general inquiries by providing information or directing questions to the appropriate City personnel.
  • Schedule and coordinate meetings with internal and external customers (e.g. local schools, agencies, businesses and community groups), travel arrangements, and appointments as required.
  • Prepare correspondence, memoranda, forms, and/or other materials; assist with transcribing and distribution of agendas, meeting materials, records, meeting minutes; prepare and post notices for meetings, work sessions, and public hearings; copy and collate documents and distributes to appropriate parties.
  • Prepare documentation and maintain specialized records of departmental operational activities (e.g., invoices, purchase orders, permits, citations, equipment inventories, time and attendance records, financial/budget information, etc.).
  • Transport materials and supplies to and from the City and offsite locations, such as banks, the Post Office, City Hall, and Yuma as directed.
  • Stamp, sort, and distribute incoming mail and prepare outgoing mail.
  • Prepare work orders and supplies orders as needed (e.g., janitorial supplies or automotive parts).
  • Locate and retrieve files or documents; performs data entry and routine file maintenance.
  • Perform routine maintenance and service of office equipment and contacts repair personnel as required.
  • Assist with officiating recreational games and events including explaining sports game rules and organizing teams.
  • Support event-day operations, which may involve receiving payments, issuing receipts and handling cash
  • Perform other related duties as assigned.

Position Duties

Will possess knowledge of: 

  • Rules, regulations, policies, and procedures applicable to recreation.
  • Standard office practices, procedures, and equipment.
  • Manual and/or automated filing procedures and file maintenance.
  • Data entry and verification procedures.
  • Business English, punctuation, grammar, and spelling.

Will possess the ability to:
  • Interact with the public and provide professional customer service.
  • Answer telephones and take accurate messages.
  • File documents and retrieve information.
  • Record and transcribe minutes and dictation.
  • Operate a variety of office equipment, including typewriters, automated information systems, facsimile machines, photocopiers, and calculators.
  • Establish and maintain effective working relationships and communicate effectively.
  • Pass an extensive background check.

Skilled in:
  • Typing with a minimum of 30 wpm.
  • Excellent communication skills; reading, writing, and bilingual in Spanish.

Minimum Qualifications

Education, Training, and Experience:

  • High school diploma or GED equivalent; AND
  • One (1) year of clerical experience.


Licenses and Certifications:

All required licenses and certifications must be maintained throughout employment.


  • A valid Arizona driver’s license at the time of appointment.
  • First Aid/CPR Certification or the ability to obtain it within 30 days of hire.
  • A valid Fingerprint Clearance Card, Level I, or the ability to obtain it before the first day of employment.


Special Requirements:

  • Residency in the United States and within 25 miles of the City of San Luis.


Desired/ Preferred:

  • Bilingual in Spanish.
  • San Luis residency.

Physical Demands

The employee is frequently required to lift up to 30 pounds unaided.  Employees must be physically capable of operating City vehicles, for job-related purposes, safely.  Specific vision abilities required for this job include close vision and the ability to adjust focus.

While performing the duties of this class, an employee uses written and oral communication skills; reads and interprets data, information and documents; analyzes and solves problems; uses math and mathematical reasoning; performs highly detailed work and multiple concurrent tasks; and interacts with colleagues and members of the public, including occasional interactions with dissatisfied individuals. 


Work Environment 

The employee works in an office environment where the noise level is usually quiet.  Additionally, the employee may work outdoors where the he/she may be exposed to extreme weather conditions such as excessive heat and cold.
