Job Description
The job of “Department Secretary” is done for the purpose/s of providing clerical support to critical administrative functions; communicating information to staff, the public and other districts; orienting personnel to their job requirements; ensuring compliance with financial, legal, confidential and administrative requirements; and providing information and/or direction as may be requested.
Essential Job Functions:
- Supports assigned administrative personnel for the purpose of providing assistance to their administrative functions (e.g., development of budgets, serving as liaison to administrators, etc.)
- Assists other office personnel for the purpose of providing support and backup for their assignments, and/or coordinating work activities.
- Composes documents (e.g., correspondence, agendas, minutes, reports, etc.) for the purpose of communicating information to school and district personnel, the public, state officials, etc.
- Monitors assigned activities, programs and/or budgets for the purpose of adhering to critical timelines and ensuring compliance with financial, legal and/or district requirements.
- Processes documents and materials (e.g., schedules, agendas, mail, etc.) for the purpose of disseminating information to appropriate parties.
- Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
- Evaluates situations (i.e., involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
Essential Job Requirements - Qualifications:
- Experience Required:
Prior job related experience with increasing responsibility.
- Skills, Knowledge and/or Abilities Required:
Skill: to operate standard office equipment, including use of computer applications; correct English usage in both written and verbal form, including spelling, grammar and punctuation; and must be able to type 45 words per minute.
Knowledge: of rules and regulations related to assigned department; basic budgeting; financial and statistical record keeping and standard office equipment.
Ability: to work independently, handle some confidential files and understand and carry out oral and written instructions.
Significant physical abilities include sitting for prolonged periods; reaching/handling; communicating; and using near vision/visual perception.
- Education Required:
High school diploma or equivalent.
Licenses, Certifications, Bonding, and/or Testing Required:
TB test; fingerprint clearance; typing test and pass testing appropriate to the position.
