About the Department
The Public Works Department is looking to hire a Clerical Assistant. This is a non-benefited position that provides front desk reception and office support for all three service areas of the department: Engineering, Maintenance & Operations, and Airport.
Work duties include frequent interaction with the public in person and by telephone; photocopying materials; distributing mail; filing various materials according to established department procedures; archiving materials and physically moving boxes to the appropriate area; and performing word processing or typing of correspondence, reports and forms.
Note: This is a temporary position, working 40 hours a week. Hours will be from 8:00am – 5:00pm, Monday through Friday. This temporary position is slated to last no more than 6 months.
Position Duties
Work assignments may involve data entry, recordkeeping and using computers for word processing, spreadsheet assignments, and related tasks.
Other duties include:
- Dealing professionally, tactfully and courteously with the public, coworkers, and other City employees, including in difficult customer service situations.
- Acts as the first customer contact for the department by answering telephones, assisting the public at the counter, or referring them to the appropriate staff person.
- Filing of both automated and paper documents in the appropriate department files.
- Providing basic clerical support to department staff as directed.
- Typing and maintaining mailing lists, correspondence, forms, procedures, and other necessary items, some of which are confidential.
- Organizing and distributing mail.
- Using a variety of computer programs for word processing, spreadsheets, database applications, mailing lists, scheduling conference rooms, and other departmental activity.
Minimum Qualifications
High school diploma or equivalent.
Preferred Qualifications:
Receptionist experience, word processing experience in a Windows environment, and knowledge of alpha/numeric filing systems.
